About The Position

This individual will perform medical secretarial duties which include typing, data entry, answering telephone, making calls, taking messages and various administrative duties, as assigned by Supervisor or Manager. The Medical Secretary will assist in the coverage of absent co-workers, obtain, copy, and/or scan medical records as needed, and maintain knowledge of scheduling criteria for all procedures within the department. This role requires working at a fast pace while maintaining accuracy of details. The Medical Secretary will schedule patient visits in a timely manner, ensuring all information is complete and accurate, and coordinate appointments as needed with other locations. They will answer the phone and provide excellent customer service, follow through with problems or questions in a timely manner, and accurately answer questions by maintaining a good knowledge base and utilizing other resources as needed. The Medical Secretary will communicate identified problems to appropriate supervisory personnel and participate in corrective action. They will ensure and adhere to strict confidentiality when handling patient charts, records, and scheduling information. The role also involves attending all in-service programs and departmental meetings as required, utilizing the scheduling system to its fullest potential, and maintaining up-to-date knowledge of changes and updates. Additionally, the Medical Secretary will assist with data collection, create and update patient accounts in the registration system, accurately enter data into the system, and verify insurance coverage for scheduled patients. They will collaborate with patients, staff, clinical departments, and referring physician offices to obtain necessary information, document all information obtained during pre-registration, and collect self-pay balances per department guidelines. The Medical Secretary will ensure all monies collected are secured or turned over to appropriate associates and balance cash drawers before closing, and refer patients for in-depth financial counseling when needed. Maintaining a safe environment of care, recognizing and addressing safety hazards, and reporting any dissatisfied patients/family to management or police/security if necessary are also key responsibilities. The role includes participating in professional development and actively participating in educational in-services and eLearning courses as offered.

Requirements

  • High School Diploma or GED equivalent required

  • Collaborates with patients, staff, clinical departments, and referring physician offices to ensure that all necessary information is obtained from patients before their scheduled services.
  • Documents all information obtained during pre-registration activities to ensure patients’ accounts are complete for forwarding to other departments.
  • Documents charts and/or system with activity comments to ensure appropriate account follow-up.
  • Collects self-pay balances per department guidelines and posts collections to system.
  • Ensures that all monies collected are secured or turned over to appropriate associates and cash drawers are balanced before closing.
  • Refers patients to for in-depth financial counseling when needed.
  • Maintains a safe environment of care.
  • Recognizes and addresses safety hazards.
  • Reports any dissatisfied patients/family to management or police/security if necessary.
