Requirements

  • Prior experience as a medical scribe, virtual medical scribe, medical assistant, virtual medical assistant, or healthcare administrative support professional preferred.
  • Experience working in behavioral health, mental health, or a related clinical environment strongly preferred.
  • Strong knowledge of medical terminology and the ability to accurately understand and document clinical information communicated by clinical staff.
  • Familiarity with behavioral health diagnoses, medications, symptoms, treatment planning, and clinical documentation preferred.
  • Understanding of clinical documentation practices and the ability to accurately capture relevant information while maintaining the integrity of the medical record.
  • Experience working with electronic medical records or healthcare information systems preferred.
  • Exceptional attention to detail with the ability to accurately document information, identify missing details, and maintain consistent documentation quality.
  • Strong written and verbal communication skills with the ability to communicate professionally and effectively with clinical staff and other members of the team.
  • Ability to manage multiple documentation assignments, prioritize responsibilities, and consistently complete work within established timelines.
  • Ability to work independently in a remote environment while remaining responsive, accountable, organized, and productive.
  • Strong understanding of patient privacy, HIPAA requirements, and the importance of protecting confidential health information.
  • Demonstrated commitment to supporting clinical staff, reducing administrative burden, improving documentation efficiency, and contributing to positive and efficient clinical workflows.
  • Ability to maintain a consistent part time schedule and provide reliable coverage during established clinical hours.

Responsibilities

  • Work closely with clinical staff to virtually document patient encounters, including assessments, progress notes, treatment plans, medication information, clinical observations, follow-up recommendations, and other required clinical documentation.
  • Accurately enter information dictated or communicated by clinical staff into the electronic medical record while maintaining appropriate clinical context, organization, terminology, and accuracy.
  • Assist clinical staff with the preparation and entry of hospital notes, patient summaries, progress documentation, and other clinical records required to support continuity of care.
  • Apply knowledge of medical and behavioral health terminology to accurately understand and document information related to diagnoses, symptoms, medications, treatment plans, and clinical recommendations.
  • Review assigned documentation for completeness and accuracy, identify missing information or incomplete notes, and communicate outstanding documentation needs to clinical staff as appropriate.
  • Work directly with clinical staff to help streamline documentation processes, reduce administrative burden, and support the timely completion of clinical records.
  • Maintain accurate and organized patient records within the EMR while following established documentation procedures, clinical staff preferences, and organizational standards.
  • Provide limited scheduling and coordination support when needed, including assisting with appointment changes, rescheduling, and other clinical workflow needs.
  • Assist with forms, documentation requests, prior authorization support, chart preparation, and other clinical or administrative tasks as assigned.
  • Maintain strict patient confidentiality and protect protected health information while following HIPAA requirements, organizational policies, clinical documentation standards, and applicable regulatory requirements.
  • Maintain timely and professional communication with clinical staff and administrative team members to ensure documentation needs and outstanding workflow items are addressed efficiently.
