Responsibilities

Answer incoming calls with a friendly, helpful attitude and transfer calls as needed.
Book appointments by phone, online requests, or in person, ensuring schedules are accurate and aligned with each doctor’s template.
Gather necessary forms and signatures like HIPAA, demographics, and policy acknowledgments, ensuring everything is filled out clearly and completely.
Collect copays, deductibles, refraction fees, contact lens exam fees, and any outstanding balances. Clearly explain patient benefits and out-of-pocket costs and balance payment batches.
Verify insurance information and scan cards. Accurately enter patient and insurance details into the system and inform patients about coverage.
Keep patients informed about any wait times and help them feel seen, heard, and appreciated.
Keep the waiting area clean, tidy, and stocked with up-to-date reading material.
Assist with other front office duties to help the team and keep things flowing.
