About The Position

Farr West Gynecology and Women's Health is a dedicated women's healthcare practice committed to providing compassionate, comprehensive gynecologic care. This role is for a detail-oriented and experienced Medical Receptionist/Surgery Scheduler who will serve as a key liaison between clinical staff, patients, surgical facilities, and insurance companies to ensure seamless coordination of all surgical procedures. The ideal candidate is highly organized, an excellent communicator, and has a strong background in gynecologic or surgical scheduling. As a receptionist, the candidate should enjoy interacting with new people, making personal connections easily, and ensuring every patient feels welcome and valued. This role is often the first point of contact for patients and requires navigating challenging opportunities while providing excellent customer service. The individual will represent a company with a solid reputation and play an important role in the success of physicians and employees.

Requirements

  • Minimum 1–2 years of experience in a medical office setting
  • Knowledge of medical terminology, ICD-10 and CPT coding relevant to gynecologic procedures
  • Experience obtaining insurance prior authorizations
  • Strong organizational skills with exceptional attention to detail
  • Excellent verbal and written communication skills
  • Proficiency with electronic health record (EHR) systems and Microsoft Office Suite
  • Ability to manage multiple priorities in a fast-paced environment

Nice To Haves

  • Experience in OB/GYN, gynecologic oncology, or surgical scheduling
  • Familiarity with scheduling at ASCs and hospital surgical departments
  • Experience with [EHR System, e.g., Athena, Epic, eClinicalWorks]

Responsibilities

  • Schedule surgical procedures, including both in-office and outpatient/ASC surgeries, in coordination with the physician's schedule and facility availability
  • Contact patients to confirm surgical appointments, provide pre-operative instructions, and answer questions regarding their upcoming procedures
  • Obtain and verify insurance pre-authorizations and referrals for all scheduled surgeries
  • Coordinate with hospitals, ambulatory surgery centers (ASCs), and other surgical facilities to book operating room time and ensure all necessary resources are in place
  • Prepare and submit complete surgical packets, including H&P documentation, consent forms, operative reports, and any required pre-operative testing orders
  • Communicate with anesthesia providers, surgical assistants, and hospital staff as needed
  • Maintain accurate and up-to-date scheduling records in the electronic health record (EHR) system
  • Follow up on pending authorizations, surgical clearances, and any outstanding pre-op requirements
  • Assist with patient billing questions related to surgical procedures as needed
  • Ensure compliance with HIPAA regulations and office policies in all communications and documentation
  • Collaborate closely with clinical and administrative staff to provide an exceptional patient experience
  • Greet and check in patients promptly and courteously
  • Verify patient demographics, insurance, and contact information at each visit
  • Collect co-pays and assist with financial paperwork as needed
  • Maintain a clean and welcoming reception area
  • Manage inbound calls and voicemails, ensuring messages are relayed to the correct staff
  • Schedule, confirm, and reschedule appointments efficiently to optimize clinic flow
  • Coordinate follow-up appointments for wound care and preventative screenings
  • Maintain provider schedules and communicate any changes to staff and patients
  • Support referral coordination and record requests as needed
  • Assist with faxing, scanning, and uploading documents into the electronic medical record (EMR)
  • Support provider and nurse workflows with administrative tasks as assigned
  • Monitor clinic email and encrypted team messages for updates or action items
  • Help maintain office supply and front desk inventory
  • Call patients recently discharged from hospitals or emergency departments to ensure follow-up appointments are scheduled
  • Contact patients due for care gap services (e.g., diabetic eye exams, A1C labs, foot exams, mammograms, annual wellness visits)
  • Document outreach efforts and outcomes accurately in the EHR
  • Collaborate with the clinical team to identify and engage high-risk or overdue patients
