About The Position

A Patient Coordinator is trained to act as the first point of contact for our patients where they set the tone for the patient’s visit through excellent patient care. This employee will also perform the necessary administrative responsibilities needed to create a smooth check-in/out experience for patients. The role involves facilitating patient flow, verifying medical and vision insurances, and effectively communicating with patients, doctors, and managers. Responsibilities include answering inquiries through phone, email, and in-person requests, managing patient flow, collecting correct payments, and performing general office duties. The position requires a professional attitude, prompt and courteous service, and a commitment to meeting the needs of the business, which may include working over 40 hours. Occasional travel to other offices within 1 hour of Louisville is required.

Requirements

  • Minimum Required: High school diploma or general education degree (GED)
  • Minimum Required: One year of related experience and/or training; or equivalent combination of education and experience
  • Proficient in Microsoft Excel, Word, PowerPoint, Outlook
  • Frequent walking (75%), sitting (50%), and standing (50%)
  • Regular bending, stooping, and reaching (25–50%)
  • Employees must be able to lift, carry, push, and pull items up to 25 lbs.
  • Strong fine motor skills and full use of hands are essential, as the role demands constant grasping, writing/typing, and use of technology.
  • Visual and auditory acuity—including color, depth, peripheral vision, and the ability to adjust focus—is required 100% of the time.

  • Reliable transportation that would allow employee to go to multiple work locations with minimal notice
  • Occasional driving or climbing may also be necessary.

Responsibilities

  • Facilitate patient flow
  • Verify medical and vision insurances
  • Effectively communicate with patients, doctors, and managers
  • Answer inquiries through phone, email, and in person requests
  • Provide exceptional customer service during every patient encounter (in person or via phone).
  • Display a professional attitude, greet patients promptly with a smile, and thank them when they leave
  • Answer phones (both external and internal); assure prompt, courteous service at all times
  • Practice urgency at all times with patients’ time, as well as Doctor’s time and schedule
  • Manage patient flow in the office
  • Knowledge of common fees charged for common visits and collect correct payments
  • Complete daily reconciliations / close day / countdown cash drawer
  • General office duties and cleaning to be assigned by manager
