About The Position

Family Health West is hiring Medical Office Specialists for Clinics at Primary Care and Physician Services. This role involves communicating the scheduling and patient process, collecting and documenting patient demographics, verifying insurance eligibility, and collecting appropriate copays. The specialist will receive and post payments, provide efficiencies in scheduling and managing patients, and assemble patient forms. Key responsibilities include maintaining a strong organizational structure, workflow, and operating procedures for the medical practice, and possessing knowledge of medical practice principles, practices, and procedures. The role requires efficient, polite, and prompt handling of incoming and outgoing calls, documenting phone messages in the EHR, and alerting supervisors to insurance issues. The specialist will promote Family Health West programs and policies, exhibit professional behavior, and complete assigned scanning into patient charts. Direct patient contact includes assisting with intake registration, escorting patients, and assisting physicians as assigned. Demonstrating fiscal responsibility and maintaining reliable and punctual attendance are essential. The role involves communicating necessary information, supporting projects, and demonstrating strong oral and written communication skills. Following up on patient referrals, calling for authorization for Worker’s Compensation patients, and submitting for authorization of treatment/procedures to insurance companies are also required. Preparing and sending referrals/documentation to outside providers, requesting and scanning documentation from outside providers into the Medical EMR, and accessing records from QHN and paper versions are part of the duties. Participation in staff meetings, maintaining knowledge of programs like Patient Portal, EMR, QHN, and Gmail, and training new hires are expected. Compliance with Competency Audits and Trainings is also required. Other job-related duties as assigned.

Responsibilities

  • Communicates the scheduling and patient process.
  • Collects and documents all patient demographics.
  • Insurance eligibility verification and collection of appropriate copays.
  • Receive and post all payments as appropriate.
  • Provide efficiencies in scheduling and managing patients and scheduling of appointments, assemble patient forms for appointments.
  • Maintain strong organizational structure, workflow, and operating procedures for medical practice.
  • Knowledge of medical practice principles, practices and procedures.
  • Process incoming and outgoing calls efficiently, politely and as quickly as possible.
  • Document phone messages in EHR as appropriate.
  • Alert supervisor to any insurance issues in an efficient and timely manner.
  • Promote existing and new programs and/or policies of Family Health West and the outpatient clinics both internally and externally, exhibiting professional and respectful behavior to others at all times.
  • Complete scanning as assigned into patient charts in a timely manner.

  • Participate in regularly scheduled staff meetings with each practice MOS staff and Staff Manager to go over any issues, new processes, etc.
  • Maintain knowledge of programs such as Patient Portal, EMR, QHN, Gmail and associated programs, etc.
  • Train new hires as needed.
  • Comply with Competency Audits and Trainings as directed by Practice Directory/Practice Manager.
  • Other job related duties as assigned.
