About The Position

This role is responsible for greeting patients and visitors, managing administrative tasks, and ensuring a smooth patient experience within the medical office. The Medical Office Assistant will handle patient check-in, update information, collect co-pays, manage phone calls, and maintain a clean and organized work environment. A key aspect of this role is promoting electronic workflows and collaborating with leadership to reduce manual processes. The position also involves participating in patient engagement initiatives, completing mandatory training, and adhering to HIPAA regulations to maintain confidentiality.

Requirements

  • Ability to greet patients and visitors politely and helpfully.
  • Proficiency in following office policies, procedures, and protocols.
  • Effective communication skills with staff members.
  • Ability to complete necessary paperwork and use computer systems for billing.

Responsibilities

  • Greet patients and visitors with a smile in a polite, prompt, helpful manner, providing necessary instructions/directions and informing the appropriate department/person of patient's arrival.
  • Follow office policies, procedures, and protocols.
  • Communicate effectively with other staff members.
  • Complete necessary paperwork such as fee tickets, and use computer systems to generate information necessary for billing.
  • Update patient information, collect co-pays, provide necessary forms for completion, and obtain signatures.
  • Maintain a clean and orderly waiting room and work area.
  • Promote fully electronic workflows and collaborate with leadership to reduce manual paper processes.
  • Answer phone promptly and pleasantly, handling customer needs such as making appointments and taking messages for clinical staff.
  • Proactively escalate patient, workflow, or operational concerns to leadership with constructive solutions.
  • Participate in creative ways to promote patient engagement and personalize patient outreach.
  • Timely complete mandatory company training and participate in required emergency drills or other trainings.
  • Update information in electronic patient charts according to policy and procedure.
  • Maintain patient, staff, and employer confidentiality and comply with all HIPAA regulations.
  • Perform other job activities as assigned.
