About The Position

The Pain Management team at Orthopaedic Associates plays a vital role in supporting both clinical and procedural operations. This position involves rotating responsibilities across clinical shifts, procedure days, and prepping duties, ensuring comprehensive patient care and efficient workflow. The role requires strong initiative, effective communication, and adaptability to meet the dynamic needs of the pain management department.

Requirements

  • Athletic Trainer, EMT or Certified Medical Assistant preferred; Must maintain current certifications or licensures.
  • BLS CPR certification.
  • Human relation skills to deal effectively with patients in the clinic.
  • EMR - Athena preferred. Basic level of data entry and typing skills.
  • Ability to accomplish multiple tasks as expeditiously as possible, while maintaining high standards of quality and customer satisfaction.
  • Transportation to travel between offices; Adapt to last minute schedule changes from supervisor.

Responsibilities

  • Set up POD, print new schedule, prepare paperwork if needed, set up UDS.
  • Call patients back to exam room; Provide gown/shorts to expose the extremity for examination.
  • Update medication list and allergies with patient each visit - updated in EMR.
  • Order x-rays in EMR if applicable.
  • Prepare injections, injection consent and witness signature with date.
  • Date all injectable bottles 28 days from date of opening.
  • ERX medications to the patient’s pharmacy - verify DNF/LFD dates.
  • Enter all UDS for the day; take UPS bag up front reception.
  • Put pain score in EMR.
  • Put consent forms and H&Ps in corresponding EMR.
  • Once each procedure is completed, get consent/H&P from OR and add to EMR.
  • Once injections are finished, print Op Notes for the day. Match each Op Note to each consent form. Scan in EMR.
  • Obtain fluoro images and put in front of Op Note/Consent forms in EMR.
  • Clinical schedule prepped out 2-3 weeks out.
  • Verify LFD/DNF dates.
  • Call for reports that are missing in charts - have them faxed.
  • Make sure referral is scanned in chart if New Patient (if applicable) - if not call the provider - get with Teresa Ellenburg.
  • Make sure all UDS reports are in chart.
  • Call any dismissals. Make sure you cancel all appointments in EMR - email Teresa E to mail certified letter. Note in EMR that you spoke with patient.
  • Check the plan. R/S - Cancel any patients that are too early for appointments, did not do diagnostic study, didn’t have procedures, no referral, etc.
  • Strong EMR - Athena preferred.
  • PACS - import and export images on disc.
  • Printing schedules.
  • Making and canceling appointments.
  • Nurses/Tech notes in phone tree - always chart on a conversation when taking a call from a patient in EMR - no matter the conversation. Also notate with your initials.
  • Import outside diagnostics studies on CDs - change to provider name, our MR#, first letter capitalized of first & last name - must change if all caps - give disc back to patient.
  • Possesses strong initiative to get daily work finished and processed. All employees working in pain management will work in procedures, clinical and prepping, rotation weekly.
  • Complete all work/projects assigned to you in a timely manner or by its deadline.
  • Has ability to communicate effectively with patients, physicians, and staff members.
  • Maintains scheduled attendance.
  • Versatile and willing to coordinate with and participate in, when necessary, all other aspects of the Office.
  • Participates in the Quality Improvement process and activities including the areas of Safety, EMR, Patient Satisfaction, Physician Satisfaction, and OSHA Compliance.
  • Must keep private information confidential.
