About The Position

Pacific Skin Institute is seeking a motivated candidate with a team-centered attitude for a Medical Administrative Assistant position at their Sacramento Administrative Office. The ideal candidate will have a passion for customer service, helping people obtain the necessary services, and ensuring patients feel comfortable. This is a Health Administration role with no direct patient contact; all communication is conducted over the phone or via the electronic medical records system (Epic) from the administrative office. The role involves answering phones professionally, scheduling appointments, collecting clinical information for efficient workflow, coordinating patient care, and supporting clinical staff. The position requires communication with providers to ensure timely patient access to care and maintaining accurate patient information for all departments. The Medical Administrative Assistant will also assist in processing patient referrals and faxes, and will heavily communicate with patients and providers via telephone and EMR messaging for approximately 75% of the workday. The role is expected to handle about 70 patient phone calls daily.

Responsibilities

  • Answer the phone in a professional and courteous manner and provide exemplary customer service
  • Schedule all appointments
  • Assure that all of the appropriate clinical information is collected to ensure efficient workflow
  • Coordinate Patient Care and support Clinical Staff in response to incoming phone calls from patients
  • Answer incoming calls for 4 different clinic locations
  • Communicate with provider teams to ensure timely access to care for patients
  • Provide accurate patient information so that all departments may view it daily
  • Maintain open communication with all staff members to ensure quality patient care
  • Schedule new and return patient appointments and procedures
  • Assist in processing incoming patient referrals & faxes
  • Communicate with the patient and provider through Telephone and EMR messaging system for about 75% percent of day-to-day communication
  • Utilize waitlist/call-back lists to fill the provider schedules
