About The Position

Insomniac is seeking a highly motivated self-starter with a passion for dance culture and the new media space to join their New Media department as a Media Admin. This role is responsible for assisting in the operations of the media department, which handles all steps of the production process for video, animation, and original audio related to marketing materials, live-streaming, on-site multimedia activations, and art installations. The Media Admin will work closely with the Sr. Director of Media Operations, managing meetings, tracking communications, leading Asana management, and advancing travel. This is an office-centric role based in Calabasas, CA, and is not remote.

Requirements

  • Bachelor’s degree in a relevant field or equivalent experience preferred.
  • 3-5 years of experience in media production preferred but not required.
  • Ability to evaluate project briefs creatively and financially and communicate these evaluations effectively to the client.
  • Familiarity with project management tools such as Asana is preferred.
  • Basic knowledge of creative processes and exposure to creative workflows.
  • Understanding of digital content formats, assets, and the roles of video editors, sound designers, and motion graphic artists.
  • Experience in quality control and familiarity with proofreading, editing, and reviewing deliverables to ensure accuracy and adherence to project specifications.
  • Ability to manage multiple tasks and deadlines in a fast-paced environment.
  • Excellent time management skills to support the timely completion of projects.
  • Attention to detail to ensure all project components meet high standards of quality before release.
  • Strong written and verbal communication skills with teams, stakeholders, and external partners.
  • Ability to clearly convey project requirements, timelines, and expectations.
  • Ability to address minor project issues (e.g., scheduling or resource gaps) and make adjustments to keep projects on track.
  • Ability to partner well within a team and support colleagues in meeting their goals.
  • Flexibility and adaptability to different team dynamics and tasks.

Responsibilities

  • Arranging media production related meetings, ensuring the right parties are present and agenda are set.
  • Working in Asana, tracking all related tasks and due dates, and ensuring they are communicated appropriately.
  • Handling all travel advancing.
  • Maintaining purchase logs for all company card purchases, as well as reconciling them.
  • Creating and submitting expense reports for Sr Dir of Media, Dir of Media and Dir of Post as needed.
  • Maintaining internal reporting documents, including crew logs and task completions.
  • Working with Design and Video teams to lead outside vendor onboarding, PO creation, and invoice intake.
  • Assisting on Special Projects as needed.
