About The Position

Road & Rail Services is seeking an organized and dependable Mechanical Billing & Administrative Coordinator for our Kansas City operation. This position supports the site by processing billing documentation, maintaining operational records, assisting with payroll information, and coordinating daily office activities. The ideal candidate is comfortable working with numbers, reviewing repair or maintenance paperwork, and converting completed work into accurate customer billing. Previous experience billing mechanical services, parts, labor, repairs, work orders, or similar operational work would be especially valuable.

Requirements

  • At least one year of administrative, billing, accounting-support, or office experience
  • Working knowledge of Microsoft Excel and other Microsoft Office programs
  • Strong data-entry and electronic recordkeeping skills
  • Experience reviewing detailed paperwork and resolving discrepancies
  • The ability to organize multiple assignments and meet billing deadlines
  • Strong written and verbal communication skills
  • Consistent attention to accuracy and detail
  • The ability to work independently while supporting a team
  • A dependable and professional approach to work

Nice To Haves

  • Experience with mechanical billing, maintenance billing, repair work orders, parts and labor invoicing, accounts receivable, or payroll administration
  • Experience in the rail, automotive, heavy-equipment, transportation, manufacturing, or industrial-service industries

Responsibilities

  • Review mechanical work orders, repair records, labor hours, parts usage, and supporting documentation
  • Confirm completed services are properly documented and ready to be billed
  • Prepare accurate billing information for customer invoicing
  • Track billable repairs, services, materials, and other completed work
  • Research and help correct missing information or billing discrepancies
  • Maintain organized electronic and paper billing records
  • Enter operational, billing, and employee information into spreadsheets and company systems
  • Assist with employee timekeeping and payroll documentation
  • Review paperwork for accuracy, completeness, and required approvals
  • Prepare reports and provide administrative support to site management
  • Communicate with operations, maintenance, and corporate departments
  • Coordinate meetings, maintain office supplies, and assist with special projects
  • Protect confidential company, customer, and employee information
