About the Position The System Administrator - Maximo is responsible for ensuring Maximo effectively supports, enhances, and evolves core business processes in driving operational excellence across all maintenance and asset-related processes that support MHE fleets, automated warehouse systems, robotics, conveyors, AS/RS units, sortation equipment, and related controls technology. Acting as the organization's key user and process leader for Maximo, the role champions system-enabled workflows, drives continuous improvement, and turns data into actionable insights that improve asset availability and operational performance. The role partners closely with operations, maintenance, IT, and analytics teams to deliver best in class work management, asset management, and inventory processes that improve efficiency, compliance, and performance. This role ensures that Maximo is fully aligned with maintenance strategy, uptime priorities, reliability goals, and safety standards specific to automated distribution environments.

Requirements

  • Bachelor’s degree in IT, Business Administration or related field required.
  • 5 years’ experience as a Maximo key user, process owner, super user, or functional administrator.
  • 5 years’ experience administering IBM Maximo (9.0 or MAS 9.2 preferred).
  • Strong understanding of maintenance operations, asset management, inventory control, and related business processes.
  • Experience with Maximo reporting tools (BIRT, Cognos, or Maximo Analytics), and the capability of building reports, KPIs, and dashboards within Maximo.
  • Experience using Maximo in an equipment-intensive or automated operations environment.
  • Ability to analyze data, generate insights, and translate findings into practical process improvements.
  • Strong communication, facilitation, and stakeholder management skills.
  • Demonstrated ability to lead change, drive adoption, and support continuous improvement across operational teams.
  • Strong communication skills with the ability to lead cross functional teams through change

Responsibilities

  • Serves as the primary subject matter expert for Maximo processes, owning and continuously improving workflows that support material handling assets, automation systems, and maintenance operations.
  • Develops roadmap recommendations for enhancements that leverage Maximo’s standard features and value-added modules.
  • Standardizes PM scheduling, work order processes, failure coding structures, and asset hierarchies to reflect the needs of automated environments.
  • Partners with maintenance leadership, operations managers, engineering, controls/automation experts, and reliability teams to ensure Maximo workflows align with real-world operational demands, processes, and priorities.
  • Leads process assessments to reduce downtime, improve response times, and enhance preventive and predictive maintenance programs.
  • Translates operational and maintenance requirements into functional Maximo configurations using standard features (workflows, escalations, KPIs, service requests, asset records, etc.) minimizing reliance on custom code.
  • Develops workflows tailored to MHE and automation lifecycles, including commissioning, calibration, inspections, PM/PdM routines, and component-level rebuilds.
  • Deploys new use cases to support automation technologies such as robotics, PLC-controlled systems, and conveyor monitoring devices.
  • Configures workflows, escalation rules, notifications, and application settings based on business needs.
  • Provides functional support and training to maintenance technicians, controls engineers, planners, and warehouse operations users on system best practices, PM compliance, failure reporting, and work order closure standards.
  • Supports change management during process updates, enhancements, and system improvements.
  • Builds reports and analytics that support reliability engineering efforts, including MTBF, MTTR, top failure modes, PM compliance, and downtime tracking, while evaluating Maximo data to identify root cause patterns impacting uptime and throughput.
  • Provides leadership with actionable insights and data driven recommendations that highlight equipment trends, chronic issues, and improvement opportunities to support strategic planning and operational decision making.
  • Develops dashboards for real-time visibility into asset health, preventive maintenance status, and automation performance metrics.
  • Owns data standards and quality for core elements such as asset hierarchies, inventory, locations, and classifications, collaborating with teams to ensure accurate and consistent data entry and adherence to governance policies.
  • Collaborates with IT on upgrades, integrations, and environment changes (focused on business testing and functional validation) and coordinates with OEM’s, integrators, and third-party maintenance providers to ensure business needs are clearly understand and automation equipment support aligns with operational requirements.
