About The Position

The Entry-Level Materials Coordinator plays a key role in supporting the procurement and inventory management functions of the organization. This position is responsible for processing purchase orders, coordinating material returns, and ensuring timely and accurate ordering of supplies and equipment. The ideal candidate is detail oriented, organized, and able to communicate effectively with vendors and internal teams.

Requirements

  • High school diploma or equivalent; associate degree or coursework in supply chain, business, or related field preferred.
  • Strong attention to detail and organizational skills.
  • Basic understanding of purchasing and inventory processes.
  • Proficiency in Microsoft Office (Excel, Outlook) and experience with ERP systems is a plus.
  • Excellent communication and problem-solving skills.
  • Ability to work independently and as part of a team in a fast-paced environment.

Responsibilities

  • Create and process purchase orders in accordance with company policies and procedures
  • Monitor open purchase orders and follow up with vendors to ensure timely delivery.
  • Coordinate the return of defective or excess materials, including generating return authorizations and tracking credits.
  • Maintain accurate records of purchases, returns, and inventory transactions.
  • Communicate with suppliers to resolve order discrepancies, delays, or issues.
  • Assist in maintaining inventory levels by tracking usage and forecasting needs.
  • Collaborate with internal departments to understand material requirements and priorities.
  • Support the Materials Manager with administrative tasks and reporting as needed.
