Materials and Product Lifecycle Program Manager

Gimlet Labs•San Francisco, CA

About The Position

Gimlet is building a multi-silicon neocloud for AI inference, combining large-scale compute infrastructure with an execution platform that maps AI workload stages to suitable hardware. The company works with foundation labs, hyperscalers, and AI-native companies. The Product Lifecycle & BOM Operations Program Manager owns the lifecycle of hardware procured and deployed across Gimlet’s data centers, from new part introduction through end of life. The role creates and controls internal part numbers, structures top-level assembly bills of materials (BOMs), maintains accurate part and BOM data, and translates deployment plans into material requirements. It serves as the operational bridge between Engineering, Supply Chain, and infrastructure deployment, ensuring the right hardware and revision are available at the right time. The role will establish controlled part numbering and part-data practices, maintain released and revision-controlled BOMs, set up audit and component lifecycle monitoring processes, coordinate engineering-change handoffs, and create material-readiness views and practical PLM and ERP workflows. Success in the first three to six months includes covering active deployments with a part register, publishing BOMs for core rack, server, and networking configurations, establishing a BOM accuracy baseline and audit plan, and putting processes in place for EOL/PCN risks and deployment material readiness.

Requirements

  • At least 5 years of experience in product lifecycle management, BOM management, materials planning, or hardware operations.
  • Hands-on experience creating internal part numbers and structuring multi-level BOMs from top-level assemblies to components.
  • Strong understanding of revision control, engineering change processes (ECR/ECO), and AML/AVL management.
  • Ability to read and interpret hardware datasheets and specification sheets, including for servers, networking gear, power, cabling, and optics.
  • Experience managing EOL notices, PCNs, last-time buys, and excess and obsolete inventory.
  • Experience translating changing deployment schedules into material plans and managing long-lead components and shortages.
  • Strong analytical skills and advanced spreadsheet experience.
  • Hands-on use of PLM systems, such as Arena, Agile, or Windchill, and ERP systems, such as NetSuite, SAP, or Oracle.
  • Ability to work closely with Engineering while respecting ownership boundaries: Engineering owns design, technical qualification, and substitutions; this role owns part data and BOM integrity.
  • Track record of bringing structure and discipline to fast-moving hardware programs.

Nice To Haves

  • Experience supporting data center, compute, networking, server, semiconductor, or other complex hardware deployments.
  • Experience building a part numbering system, BOM standards, or PLM processes from scratch in a fast-scaling company.
  • Experience implementing, migrating, or improving PLM and ERP systems.
  • Experience working across multiple suppliers, contract manufacturers or ODMs, deployment sites, and hardware configurations.
  • APICS/ASCM certification such as CPIM or CSCP.

Responsibilities

  • Own hardware part lifecycles from new part introduction through active production, end of life, and obsolescence.
  • Monitor manufacturer end-of-life notices and product change notifications, assess impacts on active and planned deployments, and coordinate last-time buys or qualified replacements with Engineering.
  • Manage excess and obsolete inventory and develop cost-minimizing disposition plans.
  • Create internal part numbers and map them to manufacturer part numbers and approved sources.
  • Define and enforce part-data standards covering descriptions, units of measure, revision levels, lifecycle status, and approved manufacturer and vendor lists.
  • Read component datasheets and specification sheets to verify attributes such as form factor, electrical and thermal ratings, compatibility, and compliance before part release.
  • Build and maintain multi-level BOMs from top-level rack, server, and networking assemblies down to subassemblies and components.
  • Maintain BOM accuracy by auditing BOMs, reconciling them against purchased, received, and deployed materials, and resolving discrepancies.
  • Control BOM releases and revisions through engineering change processes (ECR/ECO), and assess impacts on open orders, inventory, cost, and delivery.
  • Translate approved deployment plans into time-phased material requirements and purchasing priorities.
  • Track long-lead components, shortages, and material readiness across suppliers and sites.
  • Report material risks and recommended actions to Supply Chain and deployment leaders.
  • Establish a controlled internal part numbering scheme and part register covering active deployments.
  • Create released, revision-controlled top-level assembly BOMs for core rack, server, and networking configurations.
  • Establish a BOM accuracy baseline, regular audit process, target, and gap-closing plan.
  • Create EOL and PCN monitoring processes for critical components and plans for last-time buys or replacements.
  • Define handoffs with Engineering for BOM releases and engineering changes.
  • Build a material-readiness view tied to deployment milestones and purchasing priorities.
  • Develop practical PLM and ERP workflows so Engineering, Supply Chain, and deployment teams use a current, accurate source of part and BOM data.
