About The Position

The Department of Mechanical & Industrial Engineering is a large department with approximately 60 professors conducting research across a wide spectrum of topics. The department is home to about 2,000 students, including undergraduate, Master of Engineering (MEng), MASc, and PhD candidates. The department is committed to being a respectful, accepting, and professional workplace that values teamwork, work-life balance, and individual contributions. This term position focuses on advising research (MASc and PhD) students on academic matters, managing applications, and promoting the research program. Handling confidential information and updating internal databases are key aspects of this role.

Requirements

  • Bachelor's Degree or acceptable combination of equivalent experience.
  • Minimum three (3) years of recent and relevant experience working with students.
  • Recent and relevant experience with academic student advising in a post-secondary institution environment.
  • Experience interpreting and applying relevant academic policies at a post-secondary institution.
  • Experience providing basic support to distressed students including but not limited to connecting them to resources and support.
  • Experience working with databases, performing data entry, and producing reports in a high volume/high accuracy environment.
  • Proficiency with student information systems (e.g. Rosi, Degree Explorer, Slate) and MS Office Suite (e.g. Outlook, Word, Excel and PowerPoint).
  • Effective verbal and written communications skills; ability to understand complex information and policies and successfully convey them to a wide range of audience.
  • Demonstrated sensitivity to student needs and excellent customer service skills with the ability to develop relationships with internal and external stakeholders.
  • Ability to work independently and within a team and with direction.
  • Meticulous organizational and prioritization skills with the ability to work effectively in a fast-paced environment with strict deadlines.
  • Proven ability to demonstrate strong judgement, initiative, accountability, tact, diplomacy, and professionalism.

Responsibilities

  • Advising students on program and/or course requirements by probing and providing a range of options and possible consequences
  • Responding to enquiries within the defined scope of the role and redirecting as appropriate
  • Preparing acceptance and/or decline letters to applicants using templates
  • Ensuring that procedures and/or guidelines are followed
  • Scheduling committee meetings
  • Promoting programs at recruitment events
  • Generating reports
  • Handling sensitive and/or confidential information
  • Updating internal databases, such as the MIE Graduate Management system and ROSI
  • Analyzing incoming applications from students
