About The Position

Join our partner firm, INVISION, as a Marketing & Pursuit Coordinator and play a vital role in supporting the firm's marketing, and pursuit efforts. In this position, you will coordinate proposals, qualifications packages, interview materials, market research, and CRM data management to help position the firm for continued growth and success. Working closely with architects, designers, and firm leadership, you'll contribute to strategic pursuits, maintain critical marketing information, and develop compelling presentation and marketing materials that showcase INVISION's expertise and brand. The ideal candidate is a highly organized, detail-oriented professional with strong writing and communication skills who thrives in a collaborative, fast-paced environment and enjoys managing multiple priorities and deadlines.

Requirements

  • 2–5 years of experience in marketing, communications, proposal coordination, or a related professional services environment.
  • Strong writing, editing, proofreading, and verbal communication skills with the ability to develop compelling pursuit and marketing materials.
  • Exceptional organizational skills with a high level of attention to detail and accuracy.
  • Proven ability to manage multiple projects, deadlines, and competing priorities in a fast-paced environment.
  • Proficiency with Microsoft Office Suite, including Word, PowerPoint, and Excel.
  • Experience using Adobe InDesign to develop proposals, presentations, and marketing collateral.
  • Familiarity with CRM platforms, databases, and information management systems; experience with Unanet CRM is a plus.
  • Ability to collaborate effectively with cross-functional teams, including marketing professionals, architects, designers, and firm leadership.
  • Self-motivated, proactive, and eager to learn and grow within a collaborative team environment.
  • Strong problem-solving skills with the ability to adapt to changing priorities and business needs.

Nice To Haves

  • Bachelor's degree in Marketing, Communications, Journalism, English, Business, or a related field preferred.
  • Experience within the Architecture, Engineering, and Construction (A/E/C) industry is preferred but not required.
  • Experience managing digital assets, project information, and marketing content libraries is preferred.
  • Knowledge of OpenAsset or similar digital asset management platforms is a plus.

Responsibilities

  • Coordinate the development, production, and submission of proposals, qualifications packages, and interview materials.
  • Track RFQ/RFP opportunities, deadlines, and submission requirements to ensure timely and accurate deliverables.
  • Gather, organize, and maintain project information, staff resumes, references, and supporting pursuit content.
  • Conduct market, client, competitor research and strategic pursuit efforts.
  • Maintain and update marketing databases, project information, staff biographies, and firm qualifications materials.
  • Support the management and accuracy of client, contact, project, and opportunity data within Unanet CRM.
  • Prepare written and visual materials for client presentations, interviews, and marketing initiatives.
  • Assist with the development and maintenance of project sheets, resumes, templates, and marketing collateral.
  • Organize and manage digital marketing assets, including project photography and pursuit materials.
  • Record and distribute notes from meetings, industry events, and public engagement activities.
  • Support client events, conferences, and other business development and marketing activities.
  • Ensure all marketing and pursuit materials align with INVISION's brand standards and quality expectations.
  • Collaborate with architects, designers, firm leadership, and marketing team members to support firm growth and client engagement initiatives.
