About The Position

WinnCompanies is searching for a Marketing Pipeline Specialist to join their team based out of their Corporate Office in Boston, MA, or one of their Regional Offices throughout the East Coast or Midwest Region. In this role, the specialist will be responsible for supporting the seamless onboarding of Winn properties through the WinnStart processes, ensuring all required marketing assets, documentation, system configurations, and vendor orders are accurately collected, organized, transferred, and activated in a timely and efficient manner. The position involves working cross-functionally with Marketing, Operations, Compliance, and external vendors to deliver a smooth transition for each property, playing a critical part in maintaining data integrity, upholding brand standards, and ensuring full operational readiness across all marketing platforms at launch and during transitions. Requirements

  • Bachelor’s degree.
  • 1-3 years of relevant work experience.
  • Proficiency in Microsoft Excel for data entry, tracking, and reporting.
  • Strong organizational skills.
  • Strong communication skills.

Nice To Haves

  • Familiarity with design and communication tools such as Canva and Knock.

Responsibilities

  • Participate in WinnStart calls to understand property needs and recommend appropriate marketing products and services.
  • Partner with the Marketing Lead and/or Director of Digital Marketing when requests come in to present on a client call or make recommendations directly to a client.
  • Coordinate and facilitate the transfer of marketing documents and digital assets during the WinnStop process.
  • Collect, organize, and submit required documentation and assets during the WinnStart / Winn Stop process.
  • Maintain shared marketing folders and documents to ensure all materials are complete, accurate, and accessible, and uploaded in a centralized area.
  • Create the Lender Required Marketing Plan that is requested during the Winn Start Process.
  • Gather and organize property-specific digital assets, including logos, photography, floor plans, brand guidelines, and legal documents in shared marketing folders.
  • Track completeness of required materials and follow up with internal teams and properties as needed.
  • Support the setup of new property websites, including initial configuration, reviewing previews/drafts, and coordination with internal teams and vendors.
  • Alert the Marketing lead when an advertising or marketing request is brought up during the Winn Start or Stop Process to assist, track and ensure the request is fulfilled.
  • Create the initial marketing Sell Sheet for newly onboarded properties using approved templates and data sources.
  • Manage data hub entry for all new marketing orders, including property websites, listing syndication, Knock, and online leasing platforms.
  • Ensure all data entries are timely, accurate, and aligned with approved products and scope.
  • Track order status and coordinate updates with internal stakeholders.
  • Assist with the Fee Transparency initiative by collecting, organizing, and managing site-level fees to ensure accurate setup on property websites and within the Marketing Center for website compliance.
  • Support the creation, maintenance, and version control of property fee guides, ensuring documents are stored in a centralized, shared location.
  • Coordinate the publishing and updating of fee information and fee guides on property websites as required to support transparency and compliance standards.
