About The Position

The Marketing Operations Specialist plays a key role in optimizing marketing processes, systems, and workflows to support the overall success of the marketing organization. This role owns and manages day-to-day operational processes, ensuring efficient execution, strong cross-functional coordination, and clear visibility into marketing initiatives. The ideal candidate is a highly organized, detail-oriented self-starter with a strong understanding of core marketing functions and a passion for improving how work gets done. They are comfortable managing multiple priorities in a fast-paced, evolving environment and bring a blend of operational, technical, and analytical skills. This role supports and enhances marketing operations through workflow management, documentation, tool and portal ownership, vendor coordination, and process standardization. The Specialist also supports adoption and effective use of marketing technologies, helping improve team efficiency and scalability. Success in this role will be defined by improved workflow efficiency, increased visibility into marketing activities, and strong adoption of tools and processes across the team.

Requirements

  • Bachelor’s degree in Marketing, Communications, Business, or a related field
  • Minimum 5 years of experience in marketing operations, marketing, or a related role (in-house or agency)
  • Strong understanding of marketing functions, workflows, and campaign execution
  • Experience supporting or managing marketing processes, tools, or systems
  • Strong organizational and project coordination skills with the ability to manage multiple priorities
  • Operationally minded problem solver with attention to detail and a focus on efficiency
  • Excellent communication and cross-functional collaboration skills
  • Ability to synthesize information and support decision-making
  • Experience working with marketing technologies (e.g., CMS, marketing automation platforms, asset libraries, or similar tools)
  • Experience with reporting, dashboards, or data tracking is a plus
  • Reliable high-speed internet (minimum 75 Mbps)

Nice To Haves

  • Familiarity with workflow or productivity tools (e.g., Planner, Workfront) preferred

Responsibilities

  • Maintain and improve operational processes, documentation, and standard operating procedures
  • Support the Marketing Communications planning cycle and related workflows
  • Ensure organization and upkeep of marketing portals, shared resources, and operational tools
  • Support onboarding of marketing team members through coordination of resources and materials
  • Assist with budget tracking and vendor-related documentation
  • Track timelines, deliverables, and project status; proactively identify and escalate risks
  • Prepare project summaries, status updates, and reporting materials
  • Support development and maintenance of basic reporting and dashboards to improve visibility into marketing activities and performance
  • Support the development and maintenance of materials used for business or operational purposes.
  • Facilitate clear communication and visibility across teams
  • Own day-to-day management of marketing tools and portals, ensuring organization, usability, and adoption
  • Support system updates, access management, and basic troubleshooting
  • Assist with rollout and adoption of new tools and technologies
  • Help maintain documentation and training materials to support effective tool usage
  • Support vendor onboarding, including documentation, access setup, and process coordination
  • Maintain vendor lists, asset libraries, renewal schedules, and compliance-related documentation
  • Support ongoing management of marketing assets to ensure accessibility and consistency
  • Support brand compliance initiatives
  • Support operational initiatives, planning cycles, and special projects
  • Contribute to continuous improvement efforts across marketing processes and workflows
  • Perform other duties as assigned
