Marketing Operations Specialist

ProphixEtobicoke, ON
$71,000 - $76,000

About The Position

The Marketing Operations Specialist is an individual contributor role within the Revenue Operations team at Prophix, supporting the day-to-day operational operations and governance of our marketing technology stack. You'll work closely with the Marketing, Sales, and Operations teams to support, administer, and optimize a range of tools that power our go-to-market motion, ensuring systems are running cleanly, processes are documented and followed, and opportunities for improvement don’t go unnoticed. You’re someone who thinks in systems, picks up new technology quickly, and takes as much pride in a well-governed process as a well-executed campaign. You're comfortable with ambiguity, ask good questions, and leave processes better than you found them.

Requirements

  • 2–4 years’ experience in a marketing operations, sales operations, or related role
  • Familiarity with B2B lead lifecycle and the systems that support it, including how data flows between marketing and sales tools and how changes in one create downstream effects in others
  • Experience using a project management tool (e.g., Wrike, Asana, Monday.com, or equivalent)
  • Demonstrated ability to pick up unfamiliar SaaS tools independently and become a functional resource for teammates
  • Experience improving or standardizing processes including documentation, identifying inefficiencies, and seeing changes through to implementation
  • Comfortable working cross-functionally with marketing, sales, and operations stakeholders
  • Use AI tools responsibly to support tasks such as research, drafting, or data review
  • Professional proficiency in English (written and verbal)
  • Must be legally entitled to work in the country where this role is located

Nice To Haves

  • Experience with ABM platforms such as Demandbase or similar
  • Experience with conversational marketing or chat platforms such as Qualified or similar
  • Familiarity with Salesforce or similar CRM — comfortable navigating records and understanding how CRM data connects to marketing tools
  • Proven ability to manage projects independently and within a team setting, with experience in structured project management methodologies or tools
  • Familiarity with sales engagement tools such as Outreach or Salesloft
  • Strong proficiency in Microsoft Excel for data organization, manipulation, and reporting

Responsibilities

  • Support the administration and day-to-day operations of marketing tools across a range of platforms supporting campaign execution and operational efficiency — managing user access, configuring features, maintaining governance standards, and serving as a reliable internal resource for teammates
  • Respond to day-to-day requests from the Marketing team related to tool support, troubleshooting, campaign execution, and building out features or functionality
  • Maintain marketing reports and dashboards to track tool usage, campaign performance, and pipeline activity, and flag anomalies or areas of concern when appropriate.
  • Proactively identify gaps in tools, processes, and workflows; propose solutions and support or lead their implementation to improve team efficiency and operational effectiveness.
  • Own and enforce governance standards across the marketing tech stack including documentation, intake processes, naming conventions, and data hygiene to ensure consistency as our stack and team evolve.
  • Partner with Marketing, Sales, and Operations stakeholders to understand business needs, support tool adoption, and ensure marketing systems and processes align with broader go-to-market objectives

Benefits

  • Comprehensive health, dental, vision, and mental-health coverage
  • Retirement savings with employer contributions
  • Parental leave top-up
  • Annual wellness allowance
  • Generous paid time off including vacation and sick time
  • Social events, team activities, and opportunities to build community
  • Opportunities to participate in Environmental, Social, and Governance (ESG) initiatives
  • Quarterly Town Halls and Kickoffs that bring teams together to celebrate wins, share updates, and look ahead at what’s next
