About The Position

The Marketing Events Specialist supports the planning and execution of customer-facing events, demonstrations, trade shows, office visits, webinars, Experience Lab activities, and related marketing campaigns. This hands-on role helps coordinate logistics, prepare materials, support demo and event readiness, maintain campaign details, and assist with HubSpot lead nurturing and post-event follow-up. The role ensures marketing activities are organized, professional, consistent, and aligned with Kardex branding and customer experience goals. Kardex is seeking a highly organized and detail-oriented Marketing Events Specialist to support the planning and execution of customer-facing events, demonstrations, trade shows, office visits, webinars, and marketing activities. This full-time role is ideal for someone who enjoys coordinating details, keeping projects organized, supporting events from start to finish, and helping create a professional customer experience. The Marketing Events Specialist will work closely with the marketing team and cross-functional partners to prepare materials, coordinate logistics, support demo and event readiness, assist with post-event follow-up, and ensure customer-facing activities are executed smoothly. This is a hands-on coordination role that requires strong communication, follow-through, comfort with technology, and the ability to manage multiple tasks in a fast-paced environment.

Responsibilities

  • Help maintain demo areas in Montgomery, OH and customer-facing spaces in a clean, organized, and presentation-ready state
  • Coordinate with internal teams or vendors as needed for basic upkeep and readiness
  • Ensure monitors, screens, demo visuals, signage, and customer-facing materials are current and professional
  • Coordinate with internal stakeholders to ensure software, workflows, and demo scenarios are prepared to support customized demonstrations of specific workflows and products.
  • Assist with updating videos, presentations, or display content working, with marketing as needed
  • Receive, organize, and stage demo materials, shipments, supplies, and customer-facing assets
  • Perform pre-demo and pre-visit readiness checks using standardized checklists , including confirmation of software work flows, inventory availability, and required materials.
  • Help identify missing, damaged, outdated, or incomplete materials before customer visits or demos
  • Identify bugs/issues in the demonstration and collaborate with internal stakeholders to resolve these prior to live demonstrations.
  • Support scheduling and preparation for customer demonstrations, Experience Lab activities, customer visits, and internal meetings
  • Help track upcoming demos, visits, events, and required materials
  • Coordinate with marketing and sales to ensure the correct messaging, collateral, visuals, and materials are used
  • Assist with staging materials for customer visits, demos, and Xperience Days including the operation of the AutoStore and Kardex FulfillX software to prepare orders, expected receipts and cycle count tasks.
  • Support coordination of project signs, sample products, bins, boxes, and other demo-related materials
  • Help coordinate demo tools and materials needed for events, customer visits, or internal use
  • Maintain visibility into what materials are being used, where they are located, and when they need to be returned
  • Assist in coordinating logistics for trade shows, events, open houses, customer days, partner events, webinars, and other marketing-led activities
  • Support event planning timelines, task lists, deadlines, and coordination with internal team members, vendors, partners, and event organizers
  • Prepare and coordinate event materials including booth assets, backdrops, displays, demo materials, signage, collateral, promotional items, lead capture tools, and related equipment
  • Coordinate shipping, packing, tracking, receiving, return shipments, and post-event restocking of event materials
  • Own coordination of trade show booth setup and breakdown, including vendor coordination, material organization, booth readiness, and post-show return logistics
  • Attend select trade shows or events to support on-site execution, booth readiness, lead capture coordination, and event logistics
  • Maintain event checklists to ensure required materials, assets, deadlines, and logistics are accounted for before, during, and after events
  • Build and maintain exhibition guides, event briefings, checklists, and internal event documentation.
  • Develop and maintain lead nurturing programs in HubSpot for leads generated through trade shows, webinars, media campaigns, customer events, and other marketing activities.
  • Support post-event and post-campaign follow-up by email workflows to help move leads further through the marketing funnel.
  • Coordinate with marketing team members to identify appropriate messaging, timing, segmentation, and calls to action for nurture campaigns.
  • Assist with building, testing, and updating email sequences, lists, forms, and campaign assets in HubSpot
  • Monitor basic performance of nurture emails and recommend simple adjustments to improve engagement
  • Maintain supporting campaign and event details in Monday.com.
  • Help keep marketing activity records organized so the team has accurate visibility into event, media, webinar, and campaign activity.
  • Support the marketing team with coordination, administrative tasks, and project follow-up
  • Assist with organizing and maintaining marketing collateral, event materials, signage, displays, and customer-facing assets
  • Help ensure customer-facing materials are consistent with Kardex branding and messaging
  • Support basic updates to presentations, printed materials, event documents, and checklists
  • Assist with coordination for customer experience activities, internal meetings, and marketing-led initiatives
  • Maintain a basic inventory of demo and event equipment, materials, and supplies
  • Track items such as VR headsets, monitors, laptops, demo materials, signage, event displays, bins, boxes, and promotional items
  • Track where materials are located and help ensure they are returned after use
  • Flag missing, damaged, outdated, or low-stock items for replacement
  • Help standardize demo kits and event materials for consistency
