About The Position

Power your future with Qualus in our Marketing + Communications department as an Marketing Coordinator! This role is central to designing and executing meaningful events that strengthen the brand, curate client relationships, elevate thought leadership, and foster collaboration across our employee-base. The Event Specialist will manage a wide range of experiences from conferences, career fairs, Qualus University training events, and leadership meetings. This opportunity is a contract assignment for 6 months.

Requirements

  • High school diploma
  • 1 to 3 years of prior experience in an administrative role.
  • Excellent written and verbal abilities for clear copywriting and cross-team coordination.
  • 25% travel requirement

  • A bachelor’s degree in marketing, business administration, communications, or a related field preferred
  • Marketing experience preferred

Responsibilities

  • Coordinate the full end‑to‑end planning and execution of all events, leveraging internal teams and external vendors to ensure successful delivery.
  • Coordinate copy for blogs, emails, social media channels, and print collateral.
  • Manage logistics, promotional gear, and schedules for trade shows, webinars, and corporate events.
  • Coordinate shipping and logistics for all events, ensuring materials arrive on time and in proper condition.
  • Capture event photography and videography using mobile device to support post‑event storytelling, social media content, marketing collateral, and internal communications.
  • Lead all pre‑event planning, including budget creation and project management of all logistics.
  • Secure sponsorships, booth spaces, and event locations.
  • Design and coordinate the production of booth layouts, signage, displays, and branded materials in partnership with vendors.
  • Manage registration processes, attendee lists, and cross‑departmental participation.
  • Plan food and beverage need, entertainment, audio‑visual requirements, and shipping logistics.
  • Schedule and facilitate pre‑conference internal planning meetings to align goals, expectations, and responsibilities.
