About The Position

The Marketing Coordinator reports to the Manager of Events & Sponsorships by executing tactical and operational aspects of events, sponsorship activations, partnerships, and related programs. This hands-on role focuses on logistics coordination, vendor management, content/asset creation, performance tracking, promotional integration, and merchandise tie-ins.

  • Assist with event set-up and take-down
  • Employees must possess the ability to occasionally lift, carry, push, pull and move materials and objects weighing up to 50 pounds.
  • Working outside, remote locations, endure potential extreme weather conditions ranging from below freezing to over 100 degrees.
  • Must be able to remain standing or moving on feet for prolong periods of time
  • Must be capable to travel by airplane and automobile

Responsibilities

  • Assist in the full lifecycle execution of events and sponsorship activations, including conferences, trade shows, product launches, hospitality suites, experiential events, and partner co-activations—handling detailed logistics (venue setup, AV coordination, registration, attendee management, on-site support, setup/teardown, and post-event wrap-up).
  • Support sponsorship and partnership programs by coordinating activation deliverables, preparing sponsorship materials (e.g., benefit fulfillment trackers, co-branded creative, promotional assets), managing timelines, tracking partner obligations, and assisting with relationship maintenance to ensure mutual value and ROI.
  • Execute promotional campaigns tied to events, sponsorships, and partnerships, including ideation support, content creation (e.g., emails, flyers), travel, scheduling, distribution, and performance monitoring to align with sales objectives and maximize exposure/engagement.
  • Integrate merchandise with events and sponsorships, such as sourcing/creating limited-edition swag, event-specific collections, sponsor-branded items, or promotional bundles—coordinating production, distribution at events, and tracking sales/engagement impact (while supporting e-store operations as needed, without primary day-to-day management).
  • Coordinate with vendors, suppliers, and agencies for events (venues, AV, catering, printing, swag) and related programs—handling RFPs/quotes, contract coordination, and invoicing.
  • Maintain calendars, budgets, timelines, and trackers for events, sponsorships, and department-wide procurement activities; assist with expense monitoring, budget reconciliation, forecasting, and cost-efficiency recommendations.
  • Contribute to broader Marketing department initiatives, such as supporting general campaigns, TREADLINES production, content distribution, social amplification of events/partnerships, asset organization (e.g., uploading to DAM or shared systems), market research, or ad-hoc projects.
  • Ensure all activities comply with brand guidelines, corporate trademarks, legal requirements (contracts, IP rights, health/safety), data privacy regulations, procurement policies, and company standards.
  • Provide on-site event support, including travel as needed (15%-25%).
