About The Position

The Marketing Coordinator reports directly to the Director of Marketing and provides operational and administrative support for the firm’s growth strategy, client experience (CX), and CRM systems. This role is responsible for maintaining accurate data, supporting reporting and dashboards, and assisting with the tools and processes that enable business development and pursuit activities. The Marketing Coordinator plays a key role in ensuring that CRM data is reliable, organized, and actionable, while supporting seller-doers and marketing strategists in day-to-day execution.

Requirements

  • Excellent writing and editing skills with strong attention to detail.
  • Proficiency in Adobe InDesign and Microsoft Office Suite.
  • Strong organizational and time management skills with the ability to prioritize effectively.
  • Ability to work in a fast paced, highly collaborative, deadline driven environment.
  • Ability to manage multiple projects simultaneously while maintaining accuracy and quality.
  • Strong communication skills with a positive, professional, and team oriented attitude.
  • Ability to quickly understand and translate complex technical concepts into clear written content.
  • Strong ability to set priorities and consistently meet deadlines.
  • Bachelor’s Degree in Marketing, Business, Communications, or a related field is required.
  • A minimum of 1 to 3 years of marketing, administrative support, or data coordination is required.

  • Experience in AEC or professional services preferred but not required.

Responsibilities

  • Enter, update, and maintain client, project, and opportunity data within the CRM system
  • Ensure accuracy, consistency, and completeness of CRM records
  • Support data cleanup efforts and ongoing data quality initiatives
  • Assist with maintaining standardized naming conventions and data structures
  • Help track pursuits, client interactions, and pipeline activity
  • Assist in generating regular reports on pipeline, pursuits, and client activity
  • Support development and maintenance of dashboards and tracking tools
  • Compile data for leadership reporting and business development reviews
  • Help identify gaps or inconsistencies in data
  • Assist with collecting and organizing client feedback and pursuit data
  • Support documentation of client journey maps and workflows
  • Help maintain CX tools, templates, and process documentation
  • Contribute to tracking and organizing win/loss information
  • Support go/no-go tracking and documentation
  • Assist with maintaining pursuit tracking tools and logs
  • Help coordinate internal updates related to opportunities and pursuits
  • Provide administrative support for business development initiatives
  • Assist in maintaining CRM workflows, templates, and forms
  • Support updates to marketing and growth enablement tools
  • Help document processes and maintain internal guides
  • Provide basic support to users navigating CRM and related systems
  • Work closely with Marketing Strategists, Pursuits teams, and Business Development staff
  • Coordinate with communications and proposal teams to align data and tracking
  • Support collaboration across offices and teams
