About The Position

Catholic Charities of the Archdiocese of St. Louis is hiring a Project Specialist to be a member of the Integrated Marketing & Communications (IMC) department and to serve as a centralized project coordination resource supporting Catholic Charities ministries and service lines. This position is responsible for coordinating the intake, tracking, scheduling, workflow management, and execution support of marketing and communications projects across the organization. Working closely with ministry leadership, philanthropy staff, and IMC team members, the Project Specialist ensures projects are completed efficiently, on schedule, and in alignment with organizational priorities, brand standards, and communication goals. The Project Specialist works in partnership with the Project Manager to support the successful execution of marketing, communications, fundraising, and community engagement initiatives. While the Project Manager provides strategic oversight, prioritization, and resource management, the Project Specialist manages project workflows, timelines, approvals, and stakeholder communications to ensure projects move smoothly from request through completion.

Requirements

  • Bachelor's degree in Communications, Marketing, Public Relations, Business Administration, Nonprofit Management, or a related field preferred. Equivalent combination of education and experience may be considered.
  • Two to four years of experience in marketing, communications, project coordination, public relations, nonprofit administration, or a related field preferred.
  • Nonprofit or mission-driven organization experience preferred.
  • Effectively manages multiple projects simultaneously by organizing workflows, monitoring timelines, coordinating deliverables, and ensuring projects are completed on schedule.
  • Maintains accurate project documentation, calendars, and records while consistently producing high-quality work with minimal errors.
  • Communicates clearly and professionally through written, verbal, and interpersonal interactions, ensuring stakeholders are informed and aligned throughout the project lifecycle.
  • Builds productive working relationships across ministries, departments, vendors, and stakeholders while fostering teamwork and customer-focused service.
  • Utilizes project management, productivity, and communications platforms effectively to manage workflows, track projects, and support marketing and communications initiatives.
  • Exercises sound judgment, maintains confidentiality, resolves routine issues independently, and demonstrates accountability for project outcomes and organizational standards.

Responsibilities

  • Coordinate marketing and communications projects from intake through completion, ensuring timely execution and delivery.
  • Manage project requests, timelines, workflows, schedules, and documentation using departmental project management tools.
  • Monitor project status, communicate progress and deadlines, and escalate risks, competing priorities, or timeline concerns as needed.
  • Coordinate project approvals and maintain accurate records, reports, and performance metrics.
  • Serve as the primary project coordination liaison between ministry stakeholders and IMC.
  • Facilitate project meetings, document action items, and communicate next steps to stakeholders.
  • Support organizational, ministry, philanthropy, and community engagement initiatives through effective project coordination.
  • Coordinate the development, review, and distribution of print, digital, web, email, social media, and event communications materials.
  • Ensure marketing and communications deliverables align with organizational branding, messaging, and quality standards.
  • Maintain communications calendars, campaign schedules, content timelines, and project tracking systems.
  • Support website updates, email marketing, social media activities, and other digital communications initiatives.
  • Coordinate communications support for fundraising, stewardship, volunteer, and community engagement events, including related collateral and promotional materials.
  • Collect and report project metrics, workload data, and turnaround times while identifying opportunities for process improvement and operational efficiency.
  • Perform other duties as assigned by the Senior Director of IMC.
