About The Position

As a Marketing & Communications Administrator, you will play a pivotal role supporting senior leadership across our Global Marketing, Communications, and MarTech Enablement functions. This role is central to enabling leadership effectiveness by ensuring operational excellence, strong coordination, and clear communication across complex, fast‑paced global portfolios. Blending executive administrative support with marketing and communications coordination, this position offers the opportunity to work at the heart of global strategy, innovation, and growth — while helping shape how we communicate, collaborate, and deliver impact worldwide.

Requirements

  • 3–5 years of experience in an administrative, coordinator, personal assistant, or marketing/communications support role, ideally within a global or matrixed organization.
  • Demonstrated experience supporting senior leaders, with a high level of professionalism, discretion, and comfort handling confidential information.
  • Exceptional organizational skills with the ability to manage multiple priorities, stakeholders, and competing deadlines simultaneously.
  • Strong written and verbal communication skills, with the ability to support leadership communications and cross‑functional collaboration.
  • Advanced proficiency in Microsoft 365, including Outlook, PowerPoint, Word, Excel, and Teams.
  • A proactive, solutions‑focused mindset with the ability to operate effectively in ambiguity and fast‑paced environments.
  • Fluency in English is required.

Nice To Haves

  • Fluency in French is strongly preferred given the Montréal location.

Responsibilities

  • Provide proactive, confidential administrative support to three Vice Presidents, including calendar management, meeting coordination, travel arrangements, and expense processing.
  • Prepare, format, and manage presentations, briefing notes, agendas, action logs, and leadership communications.
  • Track priorities, deadlines, and follow‑ups across multiple portfolios, ensuring timely execution and escalation where required.
  • Act as a central point of coordination between senior leaders, their teams, leadership peers, and key global stakeholders.
  • Support administrative financial tasks, including creating and managing purchase orders (POs) and coordinating follow‑ups with Finance and Procurement teams.
  • Coordinate the planning, execution, and follow‑up of marketing, communications, and MarTech initiatives, meetings, and forums.
  • Support internal communications by assisting with the production, review, and distribution of updates and announcements, while maintaining documentation, trackers, and repositories for key initiatives and governance materials.
  • Support event logistics for leadership meetings, town halls, workshops, and key global marketing or communications moments, while contributing to continuous improvement and onboarding activities across the portfolios.
