About The Position

Language Alchemy is looking for a talented, mission-driven Marketing Assistant VA to join a small but mighty team supporting author, speaker, and coach Alejandra. This is not a "post and ghost" social media job — it's a real creative partnership. You'll be the person who keeps the brand alive and moving across platforms, owns the execution of a full book launch, and brings genuine energy to the work. Requirements

  • 3–5 years of experience in a marketing or content role — you've done this before and have the work to show for it
  • Experience working with an author or TEDx/public speaker— this is a must; you understand the unique pace and demands of a personal brand
  • Campaign management experience — you know how to build a timeline, track milestones, and flag blockers before they become problems
  • Strong visual and content IQ — you're fluent in Canva and have a sharp eye for brand consistency
  • Proactive by nature— you bring ideas to the table and don't wait to be told what to do next
  • Tech-savvy and adaptable— you pick up new tools quickly and don't get rattled by platform changes
  • Clear, honest communicator— you give real feedback and keep Alejandra informed without being prompted
  • Knowledgeable about and inclusive of LGBTQ+ communities, and respectful and aware of race and people of color dynamics in the US — this isn't a checkbox; it's core to how Language Alchemy operates

Responsibilities

  • Take over daily and weekly posting across all active platforms, maintaining a content calendar that reflects Alejandra's voice and brand
  • Engage with the audience and respond to comments using an Alejandra-approved tone guide
  • Create on-brand graphics, event flyers, and promotional assets in Canva — including all visual materials for the book launch
  • Manage Substack's publishing cadence, formatting, and scheduling
  • Research Substack challenge formats and paid content ideas to bring to Alejandra as proposals
  • Draft newsletter content from Alejandra's notes or outlines, then format, schedule, and send via Kajabi
  • Maintain subscriber list health and segmentation based on click behavior
  • Receive audio from Alejandra, complete preliminary edits, and send to the editor with clear notes
  • Manage episode uploads and publishing on Kajabi and YouTube
  • Write episode titles, descriptions, and thumbnail copy
  • Build and update landing pages for workshops, programs, and campaigns — independently and on-brand
  • Handle ongoing website management, new page builds, and course updates in Kajabi
  • Ensure all pages are conversion-optimized and visually consistent
  • Own the full marketing execution for the book launch — social, email, and campaign coordination
  • Build and manage a media pitch tracker for podcasts and press outlets for the book tour
  • Organize and manage campaign timelines for the book launch, workshops, and Substack growth
  • Run campaigns independently; Alejandra approves only at key checkpoints
  • Prepare handouts, workbooks, and participant materials for workshops
  • Design course and workshop presentations in Canva directly from Alejandra's content
  • Pull monthly analytics across podcast downloads, email open rates, and social engagement — and present a 3–5 insight snapshot
  • Submit an End of Week (EOW) report every Friday
  • Deliver a 30-Day Report covering wins, tasks, blockers, and ideas
  • Submit a 60-Day Report with metrics and next-quarter goals
  • Propose and lead the 90-Day Review meeting agenda
