About The Position

Walt Disney Imagineering is the creative force behind Disney's theme parks, resorts, attractions, and cruise ships worldwide. Imagineers combine storytelling, art, science, and technology to create immersive experiences. This Executive Assistant role provides administrative support to a cross-functional project team, focusing on developing innovative experiences for Disney's theme parks and attractions. The position requires a proactive, highly organized, and adaptable individual to support project leadership and broader team needs. This is a Project Hire position without guaranteed permanent placement.

Requirements

  • 3+ years of administrative experience successfully supporting senior-level executives in a corporate environment with significant interactions with internal and external senior leaders.
  • Demonstrated ability to interact, partner, and network with all levels of management in a fast-paced dynamic environment.
  • Excellent written, verbal, and interpersonal communication skills.
  • Demonstrated ability to blend a positive attitude, flexibility, discretion, and command while managing multiple priorities, including meeting scheduling, event coordination, expense reports, spreadsheets, presentations, and select meeting notes.
  • Ability to appropriately respond to and resolve issues with little direction.
  • Ability to work effectively in a team environment.
  • Demonstrated ability to take initiative, proactively problem-solve using sound judgment, and handle confidential and sensitive information.
  • Enthusiastic attitude and strong work ethic.
  • Strong computer/technology skills, including Microsoft Word, Excel, Outlook, Keynote, PowerPoint, SAP (Concur, Field Representative, Employee ESS, Casual Buyer, etc.), and other software/operating systems.
  • Strong organizational and follow-through skills, orderly and detail-oriented with the ability to handle multiple work streams simultaneously, prioritize work, and accurately and efficiently archive documents and work products.
  • Proven knowledge of the TWDC culture, structure, and operating practices.

Responsibilities

  • Provide exceptional delivery of assertive professionalism, initiative, creative thinking, problem-solving, prioritization, decision-making, and communication skills.
  • Anticipate needs, handle confidential information, initiate enhancements, maximize work products, drive work products, and showcase action-oriented follow-through.
  • Master technology and a variety of computer programs, be flexible with work schedules, and function as a proactive member of the department.
  • Proactively facilitate information flow, calendar planning, and meeting preparation in a dynamic environment.
  • Proactively manage complex calendars, coordinate external and internal meetings, and plan and execute domestic and international travel arrangements.
  • Anticipate, prepare, and organize information and document needs prior to all events.
  • Ensure daily prioritization of communication, meetings, and action items.
  • Maintain teamwide data, such as contact lists, org charts, and distribution lists.
  • Prepare expense reports and process workflow requirements through SAP.
  • Assist with onboarding new employees, acting as a resource for new hires, introducing them to the office and team, and providing basic training on processes, tools, and methodologies.
  • Exercise discretion, judgment, and diplomacy, consistently displaying initiative, ingenuity, and professionalism.
