About The Position

The Event Coordinator / Administrative Assistant – Retail Mortgage provides comprehensive administrative, coordination, and operational support for the Retail Mortgage organization. This role supports the Retail Mortgage Marketing team while also serving as an administrative assistant to Retail Mortgage Directors, helping manage scheduling, coordination, and follow-up to ensure leadership priorities are executed efficiently and consistently. While the position supports a variety of marketing events and external initiatives, it is equally focused on day-to-day administrative functions that help maintain strong builder relationships, agent engagement, internal initiatives, and community involvement. The role plays a critical part in supporting revenue-driven leadership and Loan Officer activity by ensuring logistics, processes, documentation, and follow-up are handled in a professional, compliant, and timely manner.

Requirements

  • 2–3 years of experience in event coordination, marketing support, or administrative roles.
  • Experience in mortgage, financial services, or real estate environments preferred.
  • Strong organizational and time-management skills with the ability to manage multiple priorities.
  • Professional communication skills for interaction with leadership, Loan Officers, vendors, and external partners.
  • Proficiency with calendars, spreadsheets, CRM tools, and basic project-tracking systems.
  • Ability to work occasional early mornings, evenings, or weekends for events.

Responsibilities

  • Provide administrative, coordination, and operational support to the Retail Mortgage Marketing team.
  • Serve as an administrative assistant to Retail Mortgage Directors, including calendar management, meeting coordination, document preparation, and follow-up on leadership action items.
  • Support scheduling, timelines, task tracking, and internal coordination across marketing and leadership initiatives.
  • Provide Loan Officer support related to marketing initiatives, events, onboarding, and training logistics.
  • Assist with onboarding and training coordination for Loan Officers, including materials, planning, and documentation.
  • Train and support Surefire CRM usage related to events, agents, builders, and Loan Officer follow-up.
  • Support internal initiatives, volunteer efforts, and charitable contributions through coordination and documentation.
  • Ensure follow-up, required documentation, and communication are completed accurately and on time.
  • Coordinate logistics for CE classes, agent events, builder launches, open houses, caravans, and community marketing events.
  • Manage event timelines, checklists, and run-of-show documents to ensure consistent execution.
  • Ensure Loan Officers have appropriate marketing materials, signage, promotional items, and food for events.
  • Occasionally assist with on-site setup, signage placement, registration, and breakdown as needed.
  • Coordinate online event setup and registration through approved CE partners.
  • Manage venue logistics and classroom setup.
  • Track attendance and manage sign-in documentation.
  • Coordinate with instructors and CE providers.
  • Ensure CE events follow internal processes and documentation requirements.
  • Capture final attendee lists and import agent data into CRM for Loan Officer follow-up.
  • Obtain photos of events for social media and marketing use.
  • Research, schedule, and coordinate with venues, caterers, food trucks, rental companies, printers, and promotional vendors.
  • Manage vendor communication, confirmations, and day-of coordination.
  • Ensure invoices, receipts, and expense documentation are collected, submitted, and processed appropriately.
  • Coordinate ordering, storage, and distribution of event swag and branded materials.
  • Manage printed collateral, signage, giveaways, tablecloths, flags, and event supplies.
  • Maintain inventory lists and reorder schedules in coordination with the VP of Retail Mortgage Marketing.
  • Assist with maintaining event calendars and internal timelines.
  • Support promotional coordination for events in collaboration with Social Media and Graphic Design teams.
  • Ensure event details are accurate across invitations, landing pages, and internal calendars.
  • Track event expenses, invoices, and receipts.
  • Assist with budget reporting and reconciliation following company procedures.
  • Coordinate with Loan Officers, Retail Mortgage Directors, marketing, compliance, and operations teams.
  • Support leadership-level initiatives and projects through administrative coordination.
  • Assist with post-event follow-up, attendee list management, and recap reporting.
