About The Position

The Marketing Coordinator supports both the financial operations and execution of PCNA’s marketing initiatives. This role is responsible for managing purchase orders, tracking expenses, and supporting monthly budget oversight, while also coordinating national tradeshows, internal and external events, and marketing projects as needed. This position ensures strong financial discipline and seamless operational execution from planning through follow-up. The ideal candidate thrives in a fast-paced environment, demonstrates exceptional organizational and administrative skills, and takes ownership of details that keep marketing initiatives on track and on budget.

Requirements

  • Strong organizational and project management skills
  • Experience managing PO’s and reconciling spend and budgets
  • High attention to detail, particularly with financial tracking and data accuracy
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office with strong proficiency in Excel
  • 3+ years of experience in marketing coordination, executive assistant, or related role
  • Experience managing budgets, expenses, or purchase orders
  • Experience managing spreadsheets in Excel
  • Bachelor’s degree in Marketing, Business, Communications or related field preferred (or equivalent professional experience)

  • Experience supporting tradeshows, events, or executive-level administrative functions preferred

Responsibilities

  • Manage purchase orders and capex submissions for the marketing team
  • Manage purchase card for marketing expenses across the team
  • Track monthly marketing expenses and reconcile to budget tracker to ensure alignment with approved budgets
  • Maintain organized documentation and vendor records for renewals and payments
  • Manage logistics for team meetings (hotel, transportation, meeting space, communications)
  • Assist with onboarding of new marketing employees
  • Manage marketing email groups and ensure access to MarTech platforms
  • Order samples as needed for team
  • Support logistics for meetings and events as needed, including venue coordination and materials
  • Coordinate event ordering product, signage, and accessories
  • Coordinate event shipping and packing of product and booth materials
  • Coordinate staff logistics and travel details
  • Order and manage branded giveaways and apparel
  • Assist with proofing of marketing collateral (flyers, brochures, signage, etc.)
  • Prepare and review product and pricing data files to ensure accuracy in marketing materials
