About The Position

The Attorney General's Office (AGO), Public Protection & Advocacy Bureau, Consumer Advocacy & Response Division (CARD) is seeking a highly motivated Managing Administrative Assistant. CARD handles consumer complaints, advocates for Massachusetts consumers, and implements settlements related to consumer protection efforts in areas such as debt collection, mortgage lending, housing, automobile sales, utilities, and professional services. The division also provides referrals, conducts research, engages in community outreach, and participates in public education. This role involves overseeing the consumer complaint and intake process, providing administrative support to division leadership, and leading the administrative team. The position is based in the Boston Office.

Requirements

  • Associate or bachelor’s degree, or an equivalent combination of education and relevant administrative experience.
  • Effective writing and verbal communication skills and demonstrated interpersonal skills.
  • Proven organizational and analytical skills.
  • Ability to manage multiple priorities, meet deadlines, and balance long- and short-term projects.
  • Advanced Proficiency in Microsoft Office and software skills.
  • Excellent work ethic and sound judgment in decision making.
  • Demonstrated commitment or interest in public service.
  • Ability to demonstrate a connection to the people and communities we serve and an interest in supporting a respectful and inclusive work environment.

  • Experience supervising/reviewing the work of others, proof-reading, editing documents, and using a case management database.

Responsibilities

  • Managing the workflow of the division to ensure timely responses are provided to incoming consumer complaints and correspondence.
  • Supervising the work of other administrative staff, including the Public Records Coordinator, Administrative Coordinators, Interns and Co-ops.
  • Overseeing implementation of office procedures and protocols related to records retention and archiving within CARD.
  • Responding to public records requests and processing complaints.
  • Providing direct support to the Division Chief and Deputy Division Chief, including preparing reports and correspondence, managing schedules, and responding to telephone calls.
  • Acting as the CARD contact for bureaus and divisions across the office and periodically serving as a floor supervisor, supporting team members that meet with visitors to the Boston office.
