For more information, visit ronaldmcdonaldhouse.org.   The Role Leads the planning, coordination, and execution of the organization’s high-profile, global events with 500+ attendees.  This role ensures seamless event operations while maintaining brand integrity, advancing donor stewardship, and aligning with organizational mission and messaging.

Requirements

  • Proven track record managing complex, high-profile events with 500+ attendees across multiple stakeholders.
  • Strong project management, vendor negotiation, and budget management skills.
  • Excellent written and verbal communication, with ability to draft clear and compelling event-related materials.
  • Detail-oriented with strong problem-solving skills and the ability to manage competing priorities.
  • Ability to thrive in a fast-paced, dynamic environment with global team members and culturally diverse audiences.
  • 7+ years of combined experience in event planning, event logistics/operations, and communications —preferably in a non-profit organization.

Responsibilities

  • Serve as lead project manager for large-scale events such as the Global Celebration Gala, Team Ronald McDonald House at the Chicago Marathon and the International Conference.
  • Own end-to-end event logistics: venue sourcing, vendor selection and management, budgeting, registration, run-of-show, AV, catering, permits, etc.
  • Partner across functions – particularly with Communications and Philanthropy - to ensure alignment on goals, messaging, audience needs, and fundraising objectives.
  • Develop and manage event production timelines, risk management plans, and contingency protocols.
  • Leverage insights into key audience segments to design engaging experiences that drive attendance and participation.
  • Manage cross-functional teams to support event planning, execution and volunteer engagement.
  • Collaborate with Brand & Creative teams to ensure visual identity, messaging, and storytelling are effectively integrated into event experience.
  • Collaborate with Finance to ensure effective financial management of resources.
  • Serve as on-site lead during major events, ensuring smooth execution and addressing issues in real time.
  • Track and report on event KPIs and conduct post-event debriefs to support continuous improvement.
  • Manage all vendor relationships and consultants to ensure compliance with procurement policies.
