About The Position

The Manager, Programs is responsible for managing the Graduate Clinical Programs inclusive of the Doctor of Nursing Practice Programs, Master of Science in Nursing Programs, and Post-Master’s Certificate Programs. This position works under the supervision of the Associate Dean of Graduate Clinical Programs and involves high levels of interaction and collaboration with students, faculty, administration, and staff at the School of Nursing and Health Studies and operational offices across the University. This position manages daily operations including allocated budgets, monitors programmatic matters, and coordinates special projects and events.

Requirements

  • Bachelor's degree in Business Administration, Healthcare Administration, or other related field required.
  • Minimum of three (3) to five (5) years of progressive related experience, preferably at UM, and/or working with leadership in healthcare or academic institution
  • Is self-directed, demonstrates initiative, sound judgment, and discretion, and possesses a strong work ethic.
  • Demonstrates strong knowledge of university operations.
  • Analyzes and leverages data to inform sound business decisions.
  • Employs advanced skills in database management systems and Microsoft Office applications.
  • Exhibits excellent written and verbal communication skills and delivers outstanding customer service.

Responsibilities

  • Manages and oversees the day-to-day operations of the Office of the Associate Dean of Graduate Clinical Programs to ensure the effective delivery of program objectives.
  • Provides administrative support to the Associate Dean of Graduate Clinical programs, including but not limited to scheduling meetings with students, faculty, administrators, and community partners; Prepares correspondences; Monitors assignments and deadlines and follows up with appropriate individuals as needed on behalf of the Associate Dean; Serves as the primary representative for the Associate Dean of Graduate Clinical Programs in communication with program faculty, staff students, and community partners.
  • Contributes ideas and perspectives to graduate clinical program leadership ( i.e., Associate Dean and Program Directors) on operational plans, and assists with policy and process management and implementation to facilitate smooth operations and ensure an efficient workflow.
  • Coordinates the scheduling and staffing of various faculty meetings, prepares agendas and meeting minutes, and progresses items requiring review and/or approval through the School’s committee channels.
  • Proactively handles requests and concerns from faculty, students, and staff and brings them to the attention of the Associate Dean, as needed, for information or action.
  • Assists the Associate Dean with preparing documents and reports, and proofreads and edits materials to ensure accuracy.
  • Serves as the primary liaison between Associate Dean, program directors, faculty, students, and Office of Student Services to ensure alignment and effective communication regarding program needs; acts as a primary resource on University, School, and Program policies and procedures.
  • Assists the Associate Dean in tracking assignments or projects pending completion.
  • Facilitates the development, management, and distribution of class schedules and the exam matrix.
  • Works with the Office of Student Services team, faculty, and Associate Dean to secure faculty availability for interviews and schedule interviews.
  • Provides administrative support to the program evaluation process; assists with both pre- and post- evaluation activities for students enrolled in the graduate clinical programs.
  • Facilitates graduate student handbook revisions and edits to the Academic Bulletin on an ongoing basis.
  • Provides administrative program support activities for graduate clinical programs including: Processes travel forms for the Associate Dean.
  • Initiates appropriate follow-up/action as necessary, when issues are identified.
  • Coordinates logistics for meetings and events, including orientations, DNP presentations, guest lectures, etc., from conception to execution. This includes print and digital materials, communications, vendors, staffing, parking arrangements, room reservations, IT support, travel needs, and refreshment orders.
  • Ensures exceptional customer service and accurate and timely responses and delivery of assignments.
  • Monitors deadlines and ensures timely submission of required materials.
  • Ensures documentation is properly filed and maintained, with confidentiality upheld for sensitive items.
  • Creates and maintains databases and standard operating procedures.
  • Performs other duties as assigned.
