We are seeking a Manager of Trust Services to lead the day-to-day operations of MyLandTrustee.com, our Florida land trust services business operating through TRSTE, LLC and Land Trust Service Corporation. The Manager owns execution across the full trust formation lifecycle, client intake, document preparation from firm-approved templates, signing coordination, funding, recording, and post-formation administration, and supervises the Trust Coordinator who supports the function. The role partners closely with the Managing Attorney, who provides supervision on document review and any matter requiring attorney judgment, and reports up on business performance. This is a hands-on leadership role for someone who enjoys running a transactional book, leading a small team, and owning operational and financial results in a growing professional services environment.

Requirements

  • Minimum 5 years of substantive experience in Florida real estate transactions, title work, closings, trust administration, or a closely related transactional environment (required).
  • Demonstrated experience leading, training, or supervising others in a transactional or professional services setting (required).
  • Working knowledge of Florida real estate practice, title and recording processes, and basic trust mechanics.
  • Strong attention to detail, organizational rigor, and ability to manage a high-volume caseload across multiple parties and deadlines.
  • Excellent written and verbal communication and a professional, client-ready presence.
  • Proficiency in Microsoft Office Suite.
  • Ability to handle highly confidential client information with discretion and sound judgment.
  • High school diploma required.

Nice To Haves

  • Experience with Clio, Lawmatics, or comparable legal practice management and document assembly software preferred.
  • Familiarity with Florida land trusts under Fla. Stat. § 689.071 strongly preferred.
  • Bilingual (English / Spanish) preferred.
  • EOS knowledge preferred.
  • Associate’s or bachelor’s degree, paralegal certificate, or relevant coursework preferred.

Responsibilities

  • Own end-to-end execution of land trust matters, including intake, preparation of trust documents from firm-approved templates, signature coordination, funding, recording, and post-formation administration, in each case under Managing Attorney direction for matters requiring legal judgment.
  • Maintain accurate trust records, schedules of beneficial interests, and trustee files in accordance with Company procedures and Florida land trust practices under Fla. Stat. § 689.071.
  • Coordinate with title companies, lenders, county recording offices, beneficiaries, attorneys, and other transactional parties to drive matters to completion.
  • Identify and implement workflow improvements; surface operational risks, document deficiencies, and process gaps to the Managing Attorney.
  • Directly supervise the Trust Coordinator. Set day-to-day priorities, allocate workload, coach the team, contribute meaningfully to hiring recommendations, and provide performance feedback.
  • Onboard and train staff on processes, templates, quality standards, and confidentiality requirements.
  • Track and report key performance indicators for the trust services function — matter volume, cycle time, revenue, margin, client satisfaction — and contribute to the firm Scorecard.
  • Own or contribute to assigned Rocks tied to the trust services line of business.
  • Provide recommendations on pricing, capacity, staffing, and scope of services for Managing Attorney approval.
  • Support business development by sustaining service quality and stewarding referral relationships with attorneys, title companies, lenders, and centers of influence.
  • Serve as a senior point of contact for trust services clients on status, next steps, and service questions.
  • Coordinate intake and matter routing with Aspire Legal Solutions, the Trust Coordinator, and outside professionals as appropriate.
  • Maintain a professional, client-ready presence on phone, video, and in person.
  • Maintain strict client confidentiality and uphold all Company privacy, data security, and conflict-checking procedures.
  • Route any matter involving legal advice, drafting outside of approved templates, conflicts, fee disputes, or unusual legal questions to the Managing Attorney for direction.
