About The Position

This role is responsible for facilitating the day-to-day general business operations of the office. The Manager of Operations will oversee general upkeep, maintenance, and repairs, and will be accountable for all client service requests, including new account setup, account updates, asset movement, reporting, 401(k) rollovers, and annuities. This position ensures efficient and organized operations by leveraging established tools and processes, while also managing updates for household and entity records and ensuring consistent onboarding processes. The role involves managing Relationship Managers, Client Service Associates, and Admins, conducting weekly meetings, and meticulously tracking and reporting task statuses. The Manager of Operations will handle client accounts from opening to ongoing service, ensuring all activities comply with regulatory requirements and internal standards. Collaboration with advisors and other team members is key to providing a seamless client experience.

Requirements

  • 3-5 Years of experience in office management role
  • Strong background in finance business practice
  • Must maintain client confidentiality
  • Ability to ensure compliance of firm’s policies and procedures
  • Attention to detail with strong oral and written communication skills
  • Ability to prioritize and multitask
  • Strong interpersonal skills
  • Strong organizational and documentation skills
  • Creative, flexible, and persistent in completing tasks
  • Strong initiative: ability to work independently
  • Very experienced in MS Office Suite (Windows, Word, Excel, Outlook)

Responsibilities

  • Facilitate the day-to-day general business operations.
  • Oversee general upkeep, maintenance and repairs of the office as needed.
  • Oversee and be accountable for all client service requests, including but not limited to: new account setup, account updates, asset movement, reporting, 401(k) rollovers, annuities, etc.
  • Ensure efficient and organized operations by leveraging established Apollon tools and processes; identify and address inefficiencies without introducing unsupported workflows.
  • Manage updates for household and entity records including insurance, annuities, legal, and tax documents.
  • Ensure consistent onboarding processes for new clients or transitions to new custodians.
  • Manage Relationship Managers, Client Service Associates and Admins within the office.
  • Conduct weekly scheduled meetings with advisors, RMs, and CSAs.
  • Meticulously track and report the status of outstanding tasks, providing advisors with up-to-date information about progress and outstanding client requests.
  • Manage client accounts from initial opening to ongoing service, including document gathering, account setups, and comprehensive client support.
  • Ensure all activities and processes conform to regulatory requirements and internal compliance standards, maintaining professionalism and integrity in all interactions.
  • Collaborate with advisors, back-office staff, and other team members to provide a seamless and exceptional experience.
