About The Position

Michigan Technological University is seeking a Manager of Administration for our College of Business. The Manager of Administration (MA) works with the Dean, faculty, and other staff to oversee the budget of the college, including budget projections, reporting, and regular balancing of accounts and indices. The MA collaborates with the Dean to advance the mission of the college and to promote collegiality and the harmonious operation of the college. The MA also assists the Dean and supervises the UAW Administrative Aide and student workers.

Requirements

  • Bachelor’s degree in related field of study, or equivalent combination of education and direct experience.
  • Three years experience working in an executive assistant (or comparable) position.
  • Excellent communication and organization skills
  • Ability to work independently with little supervision
  • Ability to problem solve
  • Proven ability to manage multiple projects including financial, logistical, human resources, and other

Responsibilities

  • Serve as Dean’s executive assistant, managing the calendar, maintaining office files and records, communicating to internal and external constituents on the Dean’s behalf, and participating in meetings.
  • Perform complex administrative duties for the Dean, including overseeing the implementation and management of the College priorities and special projects.
  • Analyze, compare, and evaluate various courses of action and make independent decisions on matters of significance, free from immediate direction, within the scope of the position responsibilities to implement MTU policies and COB priorities.
  • Promote effective communication, coordination, and workflow within the College.
  • Monitor and ensure the College meets MTU and COB timelines for key events (tenure, faculty reviews, etc.)
  • Maintain and coordinate COB internal scholarships in coordination with MTU Scholarships
  • Maintain the Reach digital signage system.
  • Maintain COB card swipe access to labs and building.
  • Work collaboratively with Dean’s office personnel and faculty (Associate Dean, Assistant Dean, Directors, Coordinators, Committee chairs).
  • Oversee COB staff and collaborate with other staff, as necessary.
  • Troubleshoot problems, resolve concerns, and respond to inquiries with diplomacy and tact.
  • Track and maintain College of Business activities.
  • Assist students with attending conferences, flights, hotels, registrations.
  • Supervise the UAW Administrative Aide and student workers.
  • Maintain calendars for COB including Faculty office hours, faculty teaching schedules, and COB Staff calendar.
  • Draft specialized and routine communications, including correspondence, reports, memoranda, and e-mail responses for the Dean’s signature.
  • Independently respond to the Dean’s email and other correspondence when appropriate.
  • Provide support for AACSB reports and visits.
  • Coordinate faculty and staff searches and interviews.
  • Oversee and Coordinate faculty reappointment, promotion, and tenure processes; maintain confidential and sensitive faculty and staff personnel files.
  • Manage and project summer faculty salaries; project summer revenue; process summer teaching EPAF and temporary hiring paperwork.
  • Provide assistance in the resolution of budget questions regarding spending of funds in and out of the university.
  • Assist faculty with research awards and project account administration for external funding, including reallocations and release time.
  • Reconcile monthly financial reports for the College, including the maintenance of appropriate balances in general, designated and Michigan Tech Fund account.
  • Authorize check requests, inter-account bills, journal transfers, and purchase orders up to $2,500 with delegated authority from dean.
  • Input yearly salary increases and budget, Track faculty summer salaries, balance summer returns.
  • Provide project management for building repairs, remodels, and equipment purchases.
  • Assist Dean with advancement and development projects.
  • Serve as secretary to the Dean’s Advisory Council. Produce regular communications to Council members, take minutes at Council meetings, and participate in the planning and staging of Council meetings.
  • Attend and maintain faculty meeting minutes and coordinate faculty ballot.
  • Commit to learning about continuous improvement strategies and applying them to everyday work. Actively engage in university continuous improvement initiatives.
