About The Position

Take on a leadership role where your executive administration expertise makes an impact. As Director of Administration, you'll serve as a trusted partner to the CEO and Board of Directors, ensuring effective governance and executive operations at one of North America's premier private clubs. In this role, you will provide executive support to the Chief Executive Officer (CEO) and Board of Directors while overseeing Board governance, committee administration, member elections, and executive operations. You will manage confidential information, coordinate governance activities, support organizational compliance, and serve as a trusted partner to executive leadership. The ideal candidate is highly organized, exercises sound judgment, communicates effectively, and thrives in a fast-paced executive environment.

Requirements

  • Minimum 5 years of executive administrative, executive assistant, or senior administrative experience.
  • Experience supporting executive leadership in a fast-paced environment.
  • Proficient in Microsoft Office 365 (Word, Excel, Outlook, and PowerPoint).
  • Strong organizational, communication, and time management skills.
  • Excellent attention to detail and ability to manage multiple priorities.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Strong problem-solving and interpersonal skills.
  • Valid driver's license meeting Club insurability requirements.

Nice To Haves

  • Experience supporting a CEO, Board of Directors, or executive leadership team.
  • Bachelor's degree in Business Administration, Organizational Leadership, Communications, or a related field, or an equivalent combination of education and experience.
  • Experience with board governance software or electronic records management systems.
  • Knowledge of private club, hospitality, nonprofit, or member-based organizations.
  • Experience coordinating board meetings, governance processes, or executive projects.

Responsibilities

  • Provide executive administrative support to the CEO, Board of Directors, Board Committees, and senior leadership.
  • Manage the CEO's calendar, travel, meetings, and executive correspondence.
  • Coordinate Board meetings, executive retreats, and special events.
  • Prioritize executive communications and identify issues requiring leadership attention.
  • Maintain confidential executive, governance, and organizational records.
  • Develop presentations, reports, agendas, and meeting materials.
  • Supervise and mentor administrative staff to ensure consistent support and professional development.
  • Manage the annual governance calendar for the Board and Committees.
  • Coordinate Board and Committee meetings, including agendas, meeting packets, logistics, and documentation.
  • Administer the Board's governance platform (Nasdaq BoardVantage) and maintain official records.
  • Record and distribute accurate meeting minutes and monitor follow-up action items.
  • Support Board member onboarding, orientation, and governance training.
  • Coordinate annual Board evaluations and collaborate with external consultants.
  • Administer Board elections in compliance with bylaws, policies, and election procedures.
  • Support the Nominating Committee by preparing materials, coordinating meetings, and maintaining records.
  • Manage annual member voting processes, communications, and election reporting.
  • Coordinate member voting for major initiatives requiring member approval.
  • Partner with management, Board members, and legal counsel in the review, revision, approval, and communication of amendments to the Club Bylaws, Code of Conduct and Regulations, Board Governance Policies, and Election Rules and Regulations.
  • Coordinate confidential governance and member disciplinary matters with leadership and legal counsel.
  • Draft review, and issue professional correspondence to Members and other stakeholders on behalf of the Board of Directors or Chief Executive Officer, as authorized.
  • Respond to member inquiries on behalf of executive leadership and the Board.
  • Maintain strict confidentiality of executive, governance, legal, personnel, and member information.
