About The Position

At Zanes Law Injury Lawyers, we believe exceptional client service starts with exceptional people. We're looking for a Director of Administration to build and lead the foundation that keeps our firm operating at a high level. This senior leadership role is responsible for the administrative infrastructure, overseeing offices, employee experience, facilities, recruiting and onboarding, technology coordination, vendors, administrative systems, and workplace operations. The role supports both U.S.-based and distributed global teams. Requirements

  • 7+ years of leadership experience in administration, operations, HR, professional services, or law firm management.
  • Experience hiring, onboarding, coaching, and supporting employees.
  • Experience in a non-corporate environment with 50-100 employees.
  • Experience managing facilities, vendors, office operations, and administrative systems.
  • Strong employee relations and communication skills.
  • Experience supporting both in-office and remote teams.
  • Excellent organizational and project management abilities.

Nice To Haves

  • Experience with distributed global teams is strongly preferred.

Responsibilities

  • Lead the firm's employee experience from recruitment through onboarding, ongoing support, and offboarding.
  • Manage recruiting logistics and hiring administration in partnership with department managers.
  • Oversee the administrative operations of our distributed global workforce, including recruiting, onboarding, technology coordination, communication, and support.
  • Serve as a trusted resource for employees regarding workplace questions, handbook interpretation, policies, and administrative matters.
  • Support managers with employee relations, documentation, and workplace issues.
  • Oversee the Phoenix and Tucson offices, including landlords, facilities, vendors, maintenance, and office improvements.
  • Manage office equipment, technology coordination, firm assets, and purchasing.
  • Manage vendor relationships, contracts, subscriptions, and renewals.
  • Directly supervise two Front Office Assistants.
  • Provide executive updates on significant administrative matters and help maintain business continuity when executive leadership is unavailable.
