About The Position

US Heart and Vascular is in need of a Medical Practice Office Manager to join our team at Birmingham Heart Clinic in Birmingham AL. This role is responsible for the professional administration of the assigned office, including oversight of administrative and clinical duties related to physicians, patients, and all employees. The Manager ensures appropriate communication to facilitate office compliance with Company and regulatory policies, negotiates financial arrangements with patients, and oversees OSHA and HIPAA requirements. They are also responsible for ensuring the efficient function of the office through proper employee scheduling, approving time off requests, and ensuring accurate timesheets. The role involves supervising or performing check-in, check-out, scheduling, insurance verification, and payment collection processes as needed. The Manager partners with Operations and Human Resources to address office issues and employee concerns, and participates in the recruitment, hiring, counseling, and termination of front office/clinical staff, including performing annual evaluations. Additionally, they maintain and coordinate physician schedules, including call schedules, time off, and meetings. The position requires active demonstration of teamwork, adherence to policies and procedures, maintaining a safe workplace, and fostering a team-oriented environment. The Manager must demonstrate integrity, professionalism, and respect in all interactions, adapt to changing priorities, and perform other duties as assigned.

Requirements

  • High school diploma or GED from accredited institution.
  • Five (5) years professional administrative / clinical experience at increasing levels of responsibility in a medical environment.
  • Current valid state driver’s license and required minimum auto insurance coverage.

Nice To Haves

  • Bachelor's degree preferred
  • Cardiology practice experience is preferred but not required

Responsibilities

  • Professional administration of assigned office.
  • Oversight of administrative and clinical duties related to physician(s), patients and all employee(s).
  • Ensures appropriate communication to facilitate office compliance related to Company and regulatory policies and practices.
  • Negotiates and arranges financial arrangements with patients.
  • Ensures and oversees OSHA and HIPAA requirements for the practice.
  • Ensures efficient function of the office through proper employee scheduling.
  • Accepts, considers and approves/denies employee requests for PTO.
  • Ensures employees are correctly administering time sheets.
  • Ensures time submitted for payment is accurate and complies with Company policy.
  • Approves time for payment in a timely manner.
  • Supervises and/or performs Check In, Check Out, scheduling, insurance verification/precertification and payment collection process as required due to office demands.
  • Partners with Operations and Human Resources to address offices issues and/or employee concerns to the appropriate party.
  • Participates in recruitment, hiring, counseling, and termination of front office/clinical staff.
  • Performs annual evaluations on front office/clinical personnel.
  • Maintains and coordinates physician call schedules, physician time off, meetings and any other scheduling needs for physicians.
  • Actively demonstrates teamwork at all times.
  • Follows other policies and procedures such that there are no verbal or written warnings during the evaluation period.
  • Maintains a safe workplace by following established safety protocols, reporting hazards, and participating in required safety training.
  • Ensures vehicles are operated and maintained in compliance with all safety, regulatory, and company requirements when travel is required.
