About The Position

This role serves as a key member of the Medical Excellence and Operations team, supporting both Medical Excellence initiatives and Therapeutic Area Strategy & Operations activities that enable Field Medical success. The individual will partner closely with Medical Excellence leaders, Field Medical Leadership, Therapeutic Area stakeholders, Strategy & Operations Leads, Medical Directors, and cross-functional partners to operationalize strategic priorities, manage project portfolios, facilitate governance and operating rhythm processes, support budget and planning activities, and drive consistent execution across the organization. The role is responsible for translating strategy into action through strong project and portfolio management, operational planning, stakeholder engagement, and continuous improvement. This includes maintaining visibility into key initiatives through portfolio management tools and dashboards, coordinating leadership communications and governance activities, supporting annual planning and forecasting processes, and contributing to the development and execution of Medical Excellence programs that enhance field effectiveness and organizational impact. This position is ideal for an individual who enjoys balancing strategic and operational responsibilities, managing complex cross-functional initiatives, driving accountability, and improving organizational effectiveness through strong project management, communication, and collaboration skills.

Requirements

  • Bachelor's degree required; advanced degree preferred.
  • 3+ years of experience in the pharmaceutical or biotechnology industry required.
  • Experience in Medical Affairs, Medical Excellence, Medical Operations, Field Enablement, Training & Development, Commercial Excellence, or related functions required.
  • Experience facilitating cross-functional meetings and driving accountability across complex stakeholder groups required.
  • Experience supporting governance processes, operational planning, or organizational initiatives required.
  • Ability to identify risks, manage competing priorities, and proactively escalate issues when appropriate.
  • Strong written and verbal communication skills, including the ability to develop guidance documents, presentations, communications, and executive-ready materials.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously.
  • Demonstrated ability to work effectively in a highly matrixed environment and influence without direct authority.

Nice To Haves

  • Experience supporting project portfolio management, annual planning, budget management, forecasting, or business operations processes preferred.
  • Experience with Smartsheet, project portfolio management tools, financial tracking, or operational dashboards preferred.
  • Proficiency with Microsoft Office applications and experience with project management, reporting, or collaboration tools (e.g., Smartsheet, Power BI, SharePoint, Veeva, Microsoft Teams) preferred.

Responsibilities

  • Support planning, coordination, and execution of Medical Excellence initiatives and strategic priorities.
  • Partner with Therapeutic Area Strategy & Operations Leads, Medical Directors, and cross-functional stakeholders to execute franchise and therapeutic area operating rhythms, strategic priorities, and annual planning activities.
  • Serve as a Project & Portfolio Management lead for assigned therapeutic areas, ensuring project plans, milestones, deliverables, and dependencies are maintained and accurately reflected in Smartsheet and related portfolio management tools.
  • Act as a Smartsheet subject matter expert, maintaining project portfolio dashboards, supporting users, providing training and guidance, and partnering with stakeholders to ensure timely and accurate project updates.
  • Monitor project progress and portfolio health by proactively following up with project owners, identifying risks, gaps, and dependencies, and escalating issues appropriately to Strategy & Operations and Medical leadership.
  • Facilitate therapeutic area operating rhythm meetings, including agenda development, project status reviews, action item tracking, risk identification, and communication of key outcomes and decisions.
  • Develop and maintain portfolio dashboards, status reports, and leadership updates that communicate project progress, accomplishments, risks, resource needs, and key business priorities.
  • Support annual strategic and tactical planning processes by coordinating timelines, maintaining planning tools, facilitating stakeholder alignment, and tracking execution against approved plans.
  • Lead or support budget and forecast management activities, including coordination with budget owners and finance partners, monthly and quarterly forecast updates, budget tracking, variance analysis, and identification of financial risks and opportunities.
  • Develop and maintain guidance documents, job aids, guidebooks, training support materials, and operational resources.
  • Coordinate Medical Excellence communications, newsletters, leadership updates, and knowledge-sharing activities.
  • Facilitate governance processes, including meeting coordination, documentation of key decisions and action items, and follow-up tracking.
  • Monitor and support execution of field excellence programs, including coaching, onboarding, competency development, and other capability-building initiatives.
  • Support knowledge management and maintenance of Medical Excellence and Operations resources.
  • Partner with cross-functional stakeholders to identify opportunities for process improvement, standardization, and operational efficiency.
  • Support the collection, synthesis, and communication of project insights, metrics, and program performance data to inform decision-making.
  • Contribute to the continuous improvement of Medical Excellence tools, processes, governance, and ways of working that enhance field effectiveness and organizational impact.
