Manager, Marketing & Development Operations

About The Position

The Manager, Marketing & Development Operations serves as the operational and strategic nerve centre of the Marketing & Development (M&D) division. This role exists to amplify the impact of the Chief Marketing & Development Officer (CMDO)— translating vision into action, connecting the dots across M&D departments, and ensuring the division operates with the discipline and agility needed to hit ambitious revenue and engagement goals. Acting as a force multiplier for the CMDO, this individual drives strategic clarity, operational excellence, and cross-functional alignment across Communications & Brand, Donor Engagement, Major & Planned Giving, Digital & Community Engagement, and Marketing. They are a trusted proxy who can represent the CMDO's priorities with credibility and influence — moving work forward without requiring the CMDO's direct involvement at every turn. This is not a purely administrative role. It demands someone who is equally comfortable in the boardroom and in the weeds — a strategic generalist with the maturity to influence senior leaders, the rigour to own complex data systems, and the operational instinct to build structures that last.

Requirements

  • Post-secondary degree or diploma in a relevant field (Business, Marketing, Communications) or equivalent experience.
  • Minimum 5 years of progressive experience in a senior coordination, operations, strategy, or project management role; experience supporting VP/C-suite leaders is a strong asset.
  • Demonstrated ability to manage complex, multi-stakeholder projects from initiation to completion.
  • Proven experience leading or meaningfully contributing to strategic planning processes.
  • Strong analytical skills with experience producing or overseeing reporting, dashboards, and KPI frameworks.
  • Advanced proficiency in MS Office (Word, Excel, PowerPoint, Outlook); comfort with CRM platforms (Dynamics or equivalent).
  • Exceptional written and verbal communication skills; ability to draft confidently on behalf of senior leadership.
  • Experience managing, coaching, or mentoring at least one direct report.
  • Demonstrated commitment to Children Believe's Vision, Mission, and Values.
  • Experience with accounting software.

Nice To Haves

  • Experience in a non-profit, international development, or fundraising environment.
  • Familiarity with digital analytics platforms (Google Analytics, SEO tools) and data visualization tools.
  • Experience with AI-powered tools for reporting, automation, or data management.
  • Proficiency in French or Spanish.

Responsibilities

  • Own the CMDO's calendar, prioritizing time against strategic objectives and ensuring the rhythm of the office runs without friction.
  • Prepare and curate briefings, decision packages, and presentations so the CMDO is always walking into the room ready.
  • Manage follow-through on commitments from senior leadership meetings — tracking actions, escalating blockers, and closing loops.
  • Act as a proxy and spokesperson for the CMDO with internal teams, partners, and stakeholders when delegation is appropriate.
  • Manage confidential correspondence and materials with the highest degree of discretion.
  • Design and maintain operational infrastructure for M&D: team rhythms, planning cycles, workflow processes, and governance frameworks that scale.
  • Lead the annual M&D work planning process — aligning department-level plans to divisional strategy and tracking progress throughout the year.
  • Bridge departments within M&D: facilitate cross-functional communication, surface misalignment early, and drive resolution before it reaches the CMDO.
  • Own high-impact, cross-functional projects on behalf of the CMDO — from scoping through execution and reporting.
  • Support the CMDO in M&D strategic planning, including environmental scans, goal-setting frameworks, and board-level reporting.
  • Identify operational inefficiencies and proactively recommend and implement improvements.
  • Own the M&D data ecosystem: set standards for CRM data integrity, establish processes for data governance, and ensure the team is working from clean, reliable information.
  • Lead and develop the Data & Insights Analyst, overseeing delivery of dashboards, performance reports, and ad hoc analysis for the M&D division.
  • Oversee digital data infrastructure — including website analytics, SEO tools, and Google Analytics — ensuring data flows are connected and actionable.
  • Champion the use of AI and automation to enhance reporting efficiency, surface deeper insights, and reduce manual data work across M&D.
  • Translate data into strategic narratives for the CMDO and Directors — making insights accessible and decision-relevant.
  • Directly lead two roles: The Fundraising & Communications Coordinator and the Data & Insights Analyst.
  • Set clear expectations, provide ongoing coaching, and create conditions for both direct reports to do their best work.
  • Support onboarding, performance management, and professional development for both roles in partnership with People & Culture.
