About The Position

The Manager, Finance and Administration leads and manages the ongoing operations of all financial and administrative activities within the Academic and Ancillary Unit (AAU). This position is responsible for the comprehensive overview of staffing, financial planning and budget development, operational planning, developing, and implementing administrative policies and procedures, maintaining financial records, and serving as a close liaison with other University units. This position is also responsible for the management of the clerical and IT staff within the AAU.

Requirements

  • Bachelor’s degree in business or equivalent post-secondary education as determined by the department
  • Minimum 5 years’ experience related to financial management, budgeting and administration
  • Minimum 5 years’ experience leading people and managing teams within a unionized environment
  • Ability to demonstrate skills in internal control environments and financial accounting or a professional designation in accounting (CPA or active progression of a CPA)
  • Experience in strategic planning, implementation, and operationalization
  • Ability to multi-task and consistently meet deadlines in a fast-paced environment
  • Excellent time management and organizational skills
  • Excellent analytical, problem solving, reasoning, and negotiating skills
  • Strong interpersonal and communications skills
  • High level of proficiency with technology including Microsoft Office (Word, Excel, Outlook), Office 365 and ability to learn new software and systems
  • Ability to maintain strict confidentiality; and exercise initiative, independent judgment, diplomacy and discretion
  • Understanding the principles of equity, diversity, inclusion and Decolonization and the ability to work respectively with a diverse student, staff, faculty, alumni and donor populations.
  • All candidates will be required to complete an assessment measuring knowledge of internal control environments and financial accounting unless a CPA designation is in progress or achieved.

Responsibilities

  • Provides support in managing and overseeing all aspects of financial administration including research grants, operating and trust accounts. Provides status reports on financial health of the AAU on a semesterly basis.
  • Works with the Dean and/or delegate on budgeting, forecasting, controls, and reporting.
  • Serves as a key partner in the achievement of the AAU’s short and long-term strategic financial goals and objectives and ensures the AAU’s policies, processes and operating procedures are compliant with institutional policies.
  • Develops financial predictions for strategic projects regarding changes to existing programs, launching of new programs, and changes to space usage.
  • Liaises with Human Resources, Academic Labour Relations, Provost’s Office, and Departmental Units, as appropriate, regarding all faculty personnel issues, including hiring, performance evaluation, grievances, sick leaves, workers’ compensation, terminations, retirements, resignations, and files.
  • Manages absence reporting and secures temporary replacement personnel during sick and or vacation leaves ensuring compliance with institutional policies.
  • Serves as the key contact person for all human resource staff issues including union matters, hiring, and discipline.
  • Supports the dean and/or delegate with strategic direction of accreditation and IQAP reviews including ensuring accuracy of collecting and producing statistical data not limited to student enrolments, program delivery, AAU history, equipment and building inventory, demographics, staffing resources, surveys, etc.
  • Participating in University lead initiatives including but not limited to volunteering at Convocation, recruitment events, etc.
