About The Position

Reporting to the Senior Director, the Event Manager oversees Facility Rental events, acting as the primary liaison between the institution and external clients while driving revenue generation through strategic event planning and execution. This role leads the strategic marketing, promotion, and event execution of venue spaces as well as managing the entire process from initial inquiry, event calendar management, and contracting to onsite logistical management, setup, and strike. Successful candidates excel in cross-functional coordination, communication, creativity, presentations, problem-solving, and organization.

Requirements

  • Bachelor’s degree in Art History, Communications, Marketing, Public Relations or related field.
  • Minimum 5 years of experience in event planning, production, or a similar role.
  • Proficiency in Google Workspace (Docs, Slides, Sheets, Forms).

Responsibilities

  • Oversees Facility Rental events, leading guest experience, event management, timeline development, and advanced logistical coordination.
  • Develops roles and responsibilities per project, including staffing resources and ensuring adequate coverage for critical onsite roles.
  • Manages internal work orders and vendor relationships (e.g. rentals, catering), ensuring compliance with event standards.
  • Oversees venue preparation and coordinates with internal departments (Facilities, AV, IT, Security, Valet) to address requirements.
  • Prepares, presents and implements key documents (timelines, run of show, budgets, event flows, presentations) for distribution.
  • Performs other duties or special projects as assigned.
  • Manages the Facility Rental program by representing event space offerings, updating necessary materials (physical and digital), and developing marketing & sales strategies to meet revenue goals.
  • Implements best practices for budget oversight, vendor contracts, and expense reconciliation for events.
  • Maintains comprehensive event documentation (e.g., photography assets, run of show, budget tracking) to ensure organization and continuity.
  • Acts as an ambassador for the museum, maintaining relationships with clients and corporate partners, and advocating for the museum’s mission.
  • Manages high-level guest and VIP communications, ensuring a high-touch approach that aligns with Development Department standards and objectives.
  • Creates and develops innovative concepts to elevate guest experiences, keeping clients engaged and enhancing LACMA’s reputation.
  • Prepares presentations outlining event updates and designs for leadership review, ensuring alignment with organizational goals.
  • Maintains a strong attention to detail, tailoring each event to its attendees.
