Requirements

  • High school diploma required
  • Minimum five (5) years of facility management experience.
  • Minimum two (2) years of vendor or people management experience
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Familiar with computerized building and maintenance management systems
  • Dependability and the ability to communicate effectively with others.

Nice To Haves

  • 4-year college degree preferred, or equivalent relevant experience.
  • Preference for Certified Facility Manager (CFM)
  • Experience with AutoCAD and Bluebeam preferred

Responsibilities

  • Daily management of Company facilities in White Plains, NY. Facilities may include regional offices, warehouse space, training center, and airport ramps.
  • Ensuring efficiency, neat appearance, and full facility functionality by conducting daily floor checks of common areas, conference rooms, and kitchens.
  • Working in conjunction with the landlord, other stakeholders, and local Company leaders to provide vital support for all facilities and building management functions.
  • Initiating corrective action to repair/replace when deficiencies are identified.
  • Participating in the project development and execution of corporate directives and assigned projects.
  • Serving as the primary point of contact for special events and meetings.
  • Managing catering, set up, and booking of conference rooms.
  • Acting as primary administrator of conference room calendars and schedules.
  • Ensuring the best and highest use of conferencing resources; working to limit inefficient use.
  • Collaborating with Property Management to ensure timely, accurate processing of all work orders and monitoring for completion.
  • Supervising the Regional Office Receptionist and managing their schedule. Providing relief coverage to the receptionist during scheduled breaks.
  • Managing and coordinating temporary reception coverage for the Receptionist during planned absences.
  • Overseeing and/or performing office management responsibilities to ensure an effective and operational workplace for employees and teams, such as ordering/restocking office supplies and shipping supplies.
  • Responding to employee facilities requests in a prompt and pleasant manner.
  • Ensuring compliance with corporate standards for space allocation and functionality.
  • Collaborating with facility maintenance, including dispatching and escorting vendors working in the building.
  • Receiving vendor deliveries and signing receiving documents.
  • Reviewing all invoices and verifying services have been rendered and/or products received, then processing for the manager’s approval.
  • Managing and coordinating internal seating changes and relocations, as well as new-hire seating, including coordinating furniture reconfiguration, cleaning work areas as necessary, and assisting with any other facility-related employee requests.
  • Providing a tour and basic explanation of facility-related issues to all incoming employees.
  • Maintaining an updated employee location list in the Facilities Database.
  • Maintaining information related to Company equipment for assigned locations.
  • Overseeing and coordinating off-site archiving.
  • Overseeing and managing coordinated schedules for mail pick-ups and deliveries, including postage metering where applicable.
  • Actioning inquiries regarding office (not cargo) shipment status and running tracers as necessary.
  • Performing additional duties assigned.
