About The Position

The Alumni Engagement & Advancement Operations Manager provides strategic leadership for Alumni Engagement while delivering centralized operational support for the Office of Institutional Advancement. This dual-function role strengthens lifelong alumni relationships in support of the University’s Catholic and Franciscan mission and ensures effective coordination and execution of alumni and advancement initiatives. The position balances outward-facing alumni engagement and volunteer leadership with internal advancement operations, contributing to cohesive programming, strong institutional identity, and efficient advancement operations.

Requirements

  • A minimum of two (2) years of experience in Alumni Relations, Higher Education, Non-Profit Administration, or related fields
  • Bachelor’s Degree or equivalent experience, required
  • Proficiency with Microsoft Office Suite
  • Strong organizational, project management, and prioritization skills, with attention to details and follow-through
  • Excellent written and verbal communication skills
  • Demonstrated commitment to professionalism, confidentiality, and mission-driven service
  • Warm and welcoming with a strong appreciation for the University’s Catholic and Franciscan identity
  • A collaborative team player who proactively contributes to shared goals, particularly during high-volume periods and major events

Responsibilities

  • Develop, implement, and manage a comprehensive alumni engagement strategy aligned with institutional priorities and Advancement goals
  • Plan and oversee alumni programs and events, including on-campus, regional, and virtual offerings, to foster lifelong alumni relationships
  • Strengthen alumni participation through meaningful engagement opportunities that support the University’s mission and identity
  • Strengthen the alumni-to-student engagement initiatives that support mentoring, career networking, and experiential learning opportunities
  • Partner with campus stakeholders to connect alumni expertise with student development and career exploration
  • Support programs that reinforce alumni involvement in student success and institutional advancement
  • Research and implement alumni engagement best practices to enhance participation, connection, and long-term affinity
  • Regularly assess alumni engagement data and trends to refine strategies and improve effectiveness
  • Serve as the primary liaison to the Alumni Association and its leadership to strengthen governance, volunteer engagement, and membership growth
  • Collaborate with Alumni Association leaders to develop strategies that engage alumni, students, and new graduates
  • Coordinate initiatives that promote alumni involvement, leadership development, and community building
  • Develop and execute targeted alumni communication strategies in collaboration with Marketing and Communications
  • Publish newsletters, e-mail campaigns, website updates, CampusESP (parent and family engagement platform) and social media content to keep alumni informed and engaged
  • Use segmented and personalized communications to maximize outreach and participation
  • Provide centralized administrative and operational support for the Office of Institutional Advancement
  • Support frontline fundraising efforts through coordination, data requests, and workflow management
  • Ensure efficiency, accuracy, and alignment across advancement initiatives
  • Manage planning, timelines, and vendor coordination for Advancement communications and mailings
  • Support annual appeals, stewardship communications, and donor outreach
  • Maintain organized systems to ensure smooth operational execution
  • Plan and execute alumni, donor, and stewardship events in collaboration with the Institutional Advancement Team
  • Coordinate logistics and on-site execution for key events, including Hall of Distinction and Fête des Fidèles
  • Ensure seamless planning, execution, and follow-up
  • Coordinate correspondence, recognition initiatives, and outreach (i.e., cards, invitations)
  • Serve as a welcoming and professional presence, fostering strong relationships with alumni, donors, and campus leaders
  • Maintain professionalism, confidentiality, and donor-centered service in all interactions while supporting stewardship efforts
