About The Position

Organizes office administration, in support of an assigned Executive, Head or Manager. We’re looking for a dynamic and highly organized Management Assistant to join our Imaging Sales Business at Siemens Healthineers. This remote role supports multiple senior executives and their teams, providing high-level administrative assistance across calendars, meetings, travel, expenses, presentations, and customer interactions. You’ll also play a key role in supporting cross-functional projects and department initiatives. Should be located in Western U.S. with Preference for Phoenix area.

Requirements

  • Proven ability to thrive in a fast-paced, remote environment with shifting priorities
  • Experience supporting senior-level executives with discretion and professionalism
  • Advanced proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint)
  • Strong time management, prioritization, and interpersonal skills
  • Detail-oriented mindset with the ability to work independently and take initiative
  • Comfortable handling confidential information and managing multiple workstreams
  • Minimum of 2 years experience in a professional support role

Responsibilities

  • Provide proactive administrative support to multiple executives and their teams
  • Manage complex calendars, schedule meetings, coordinate travel, and arrange meals and logistics
  • Prepare, proofread, and edit presentations and correspondence
  • Process expense reports, purchase requisitions, and follow up on reimbursements and invoices
  • Support onboarding for new employees, including scheduling orientation activities, coordinating access and equipment, and serving as a friendly point of contact
  • Act as a liaison for IT and facilities issues
  • Organize virtual and in-person meetings, reserve conference rooms, and coordinate catering
  • May assist in preparing annual budgets, and completes analysis of monthly budget activity.
  • Assist with customer-facing interactions and communications
  • Coordinates and establishes all travel arrangements, and reconciles travel and expense reports.
  • Contribute to special projects and department-wide initiatives, including research, coordination, and execution support
  • Assists in integration of new office technologies and systems as appropriate.
  • Monitors all information flow, including maintaining paper and electronic files.
