About The Position

The Mammography Department Secretary is responsible for a variety of administrative and clerical tasks to ensure the smooth operation of the mammography department. This includes scheduling appointments, managing patient records, coordinating with various healthcare professionals, and maintaining office supplies. The role requires a high level of professionalism, attention to detail, and adherence to confidentiality policies.

Requirements

  • Associate degree in business management/administration preferred
  • Medical office experience preferred
  • Advanced medical terminology course work preferred
  • Experience with CPT/HCPCS and ICD-10 coding preferred

Responsibilities

  • Schedule, confirm, and coordinate mammography and breast imaging appointments
  • Greet and assist patients in a professional and compassionate manner
  • Verify patient demographic and insurance information
  • Maintain and update patient medical records and imaging documentation
  • Answer incoming phone calls and respond to patient inquiries promptly
  • Coordinate with radiologists, technologists, physicians’ offices, and other hospital departments
  • Obtain prior imaging records and ensure comparison films/images are available when needed
  • Prepare and distribute reports, correspondence, and patient notifications
  • Monitor and maintain office supplies and department forms
  • Ensure compliance with HIPAA regulations and hospital confidentiality policies
  • Assist with patient recalls, follow-up appointments, and reminder communications
  • Support quality assurance initiatives and departmental accreditation requirements
  • Perform general clerical duties including filing, faxing, scanning, and data entry
