About The Position

The Maintenance Systems Coordinator is responsible for supporting the day-to-day administration and coordination of the Blue Mountain regulatory asset management system for the facility. This role helps ensure equipment records, preventive maintenance activities, calibrations, work orders, and purchasing activities are maintained accurately and in compliance with company and regulatory requirements. This position works closely with Maintenance, Quality and Operations teams to support equipment reliability, documentation accuracy, and continuous improvement initiatives across the site. The ideal candidate is organized, detail-oriented, comfortable working with systems and data, and able to manage multiple priorities in a fast-paced manufacturing environment.

Requirements

  • Associate degree, technical training, or equivalent work experience preferred.
  • Previous experience working with CMMS, Blue Mountain, maintenance systems, purchasing systems, or regulated manufacturing environments preferred.
  • Strong organizational and administrative skills.
  • High attention to detail and accuracy.
  • Comfortable learning and navigating software systems and databases.
  • Ability to manage multiple priorities and deadlines.
  • Strong communication and follow-up skills.
  • Proficient in Microsoft Office applications, especially Excel.
  • Ability to work independently and collaboratively across departments.

Nice To Haves

  • Experience in pharmaceutical, food, medical device, or GMP-regulated environments is a plus.

Responsibilities

  • Maintain and manage the Blue Mountain asset management system for the site.
  • Enter and maintain asset IDs, equipment information, and supporting documentation.
  • Create, update, and close work orders within the system.
  • Support implementation and expansion of Blue Mountain functionality across departments and site operations.
  • Ensure equipment records, maintenance activities, and calibration data remain accurate and audit-ready.
  • Coordinate and manage preventive maintenance (PM) schedules within Blue Mountain.
  • Support calibration program tracking and documentation activities.
  • Monitor PM and calibration completion status and communicate overdue items to appropriate departments.
  • Assist with maintaining compliance documentation related to maintenance and calibration programs.
  • Track maintenance and calibration metrics using Blue Mountain data.
  • Prepare and distribute routine reports related to PM completion, work orders, calibration status, and system performance.
  • Support teams by providing data for operational and compliance reporting.
  • Create purchase orders and enter purchasing information into the I-Purchase system.
  • Route purchase requests for management approvals and follow through on approval status.
  • Assist with setting up new vendors and maintaining vendor information within company systems.
  • Perform limited purchasing activities for maintenance and operational supplies as assigned.
  • Coordinate with vendors regarding orders, service requests, and delivery timelines.
  • Work closely with Maintenance, Engineering, Quality, and Operations teams to support site objectives.
  • Assist with document organization and recordkeeping for maintenance and compliance activities.
  • Identify opportunities to improve system usage, workflows, and reporting processes.
  • Support audit readiness by maintaining organized and accurate records.
