About The Position

The Maintenance Supervisor is responsible for ensuring all property maintenance needs are met efficiently and within budget. This role involves developing, mentoring, and leading a high-performing Maintenance Team, including Maintenance Technicians, Housekeepers, Groundskeepers, and Porters. The supervisor will manage daily operations, delegate tasks, monitor project completion, and ensure appropriate staffing levels. Performance evaluations, coaching, and goal setting for team members are key aspects of this position. The role also includes hands-on maintenance tasks in areas such as plumbing, HVAC, pool care, painting, carpentry, roofing, and fencing, alongside inventory management and ensuring property security and compliance with safety standards.

Responsibilities

  • Recruit, interview, hire, and train new staff.
  • Manage Maintenance Technicians, Housekeepers, Groundskeepers, and Porters.
  • Delegate team schedules and prioritize daily maintenance tasks, including work orders, turns, pools, and general grounds keeping.
  • Monitor all maintenance projects through to completion, ensuring appropriate follow-up communication and documentation.
  • Delegate tasks appropriately to maximize the efficiency of the maintenance team.
  • Ensure all team projects are completed on or before the scheduled completion date.
  • Maintain appropriate staffing levels to meet property needs, including 'on call' scheduling.
  • Evaluate employee work performance thoroughly and thoughtfully in relation to current job requirements on an annual basis.
  • Provide ongoing constructive feedback and create achievable goals for each team member.
  • Coach and mentor team members to assist their advancement within the company.
  • Ensure Maintenance Requests are addressed within 48 hours.
  • Ensure 'Turns' are completed on or before the day prior to resident's scheduled move-in date.
  • Decrease costs per unit year over year in Repairs & Maintenance, Clean & Make Ready, and Recurring Replacements.
  • Decrease Utility Costs by effectively following Section 13E (Utility and Energy Conservation) of the Policies and Procedure Manual.
  • Complete general inspections, service requests, repairs, and maintenance as a working supervisor.
  • Demonstrate and maintain a high level of competency in Plumbing, Heating and Cooling Systems, Pool Care and Maintenance, Painting, Carpentry, Roofing, and Fencing.
  • Ensure all property assets are properly secured, including office, buildings, laundry, maintenance shops, and common areas.
  • Inspect building and grounds daily to ensure safety and cleanliness, maintaining property's curb appeal.
  • Monitor vendor performance and ensure vendor compliance with Company guidelines.
  • Maintain a clean and organized shop area.
  • Maintain appropriate inventory levels to ensure timely completion of work orders and turns.
  • Ensure all maintenance orders are within budget and by GL code.
  • Ensure all invoices are turned into the Property Manager the day they are received.
  • Maintain continuous and detailed daily communication with the Property Manager regarding all aspects of property maintenance.
  • Communicate effectively and positively with residents to enhance customer satisfaction and increase retention.
  • Convey messages, ideas, and expectations to Property Manager, maintenance team, and residents in a clear and thorough manner.
  • Understand and adhere to the Policies and Procedures Manual, Fair Housing Laws, and OSHA Standards.
  • Maintain the MSDS binder and ensure it is always kept current and up to date.
  • Ensure that all safety standards, policies, and procedures are adhered to by the maintenance team.
  • Maintain open, honest, and timely communication with residents regarding maintenance requests and property concerns.
  • Ensure all communicated commitments with residents are fulfilled and appropriate follow-up communication is provided when necessary.
  • Ensure the Maintenance Team handles and cares for all residents' property carefully and respectfully.
