About The Position

The Maintenance Service Coordinator - Parts Specialist assists in the receipt, storage, accounting for a compilation of orders for tools, parts, equipment and supplies needed for emergency and non-emergency preventive maintenance and repair work ensuring repairs are completed on time. This position is responsible for shipping, invoicing, filing, and maintaining warranty claims with dealers/vendors.

Requirements

  • Associate degree required or relevant experience may be substituted.
  • Strong knowledge of maintenance reporting standards codes proper maintenance and repair techniques to assist outside repair facilities.
  • Familiarity with relevant safety components.
  • Must have the ability to assess equipment failures over the telephone and relay the proper information and location to repair facilities.
  • Ability to collaborate and build relationships based on transparency and mutual respect.
  • Ability to understand and deal effectively with problems and opportunities, which arise, in a complex environment.
  • Strong analytical skills with the ability to quickly recognize issues and opportunities to improve processes and drive efficiencies. Proficient time management and organizational skills.
  • Basic working knowledge of Microsoft Office programs including Word and Excel.
  • Work is partially sedentary and performed in an office setting.
  • Physical ability to stand, bend, twist, and lift up to 50 lbs.
  • Involves local travel within work hours as necessary. Must maintain a valid driver's license and have the physical ability to drive a vehicle for job related travel.

Nice To Haves

  • At least three years of work-related experience preferred.
  • Prior leadership experience is preferred.

Responsibilities

  • Work directly with maintenance repair facilities in processing invoices, proper parts and labor coding, and quality control.
  • Enters inventory data and verifies the delivery of items; checks invoices against purchase order to insure proper quantity, pricing, and quality.
  • Serves as a point of contact to take orders for part/supplies as well as package and ship parts/supplies to outlying service locations.
  • Communicates parts status as needed based on priority.
  • Review internal and external repair orders and ensure time and parts charged are accurate before closing out orders.
  • File internal and external repair work orders for policy/warranty support when reviewing during or prior to closing out work orders.
  • Ensure the CMMS Program (RTA) is accurate and up to date, reviewing processes and procedures as needed.
  • Provides administrative support to the Service teams.
  • Monitor and support RTA systems.
  • Other duties as assigned.
