Maintenance Planning Specialist

About The Position

Serves as the Computerized Maintenance Management System (CMMS) administrator. Schedules staff workload through the CMMS. Procures parts and supplies for staff workload and manages this inventory physically and within the CMMS. Acts as an internal consultant to staff and management supports management decision through reports and simple analyses. Supports and implements upgrades to the CMMS through testing, training and providing help desk support. Assists staff by extracting historical data to develop standards and assess departmental efficiencies. Acquires and maintains a comprehensive working knowledge of CMMS. Analyzes application needs and develops/implements a plan to maximize application functionality. Serves as a system-wide CMMS resource. Works with management to implement preventive maintenance and inspection schedules for facilities and equipment in the CMMS. Receives work requests and initiates system work orders. Assigns work orders to departmental staff. Dispatches work orders to appropriate personnel and coordinates quality control and follow-up procedures. Procures material, inventory, and supplies for staff workloads. Accurately documents all procurement activities and inventory usage within the CMMS system. Receives and accounts for material as needed to ensure timely distribution to staff. Performs quality control through physical inventory counts. Supports staff by providing user training on the CMMS system. Acts as in house consultant on CMMS for clients and staff. Provides oversight to maintain and manage the integrity of CMMS database. Works with Technology Services to perform upgrades or system enhancements. Supports documentation to any other software programs feeding information from/to the CMMS. Uses CMMS to track material, labor hours, contractor work projects and/or progress, and regulatory documentation. Provides reports to management for strategic planning and workload management. Schedules work with clients to ensure minimum disruption to patient care. Schedules shipments of material to proper locations within multiple cost centers. Provides administrative support of the department including telephone communications, recordkeeping, processing and tracing of data and maintenance of general office equipment. Maintains key logs for all managed properties and assists in distribution of keys to clients.

Requirements

  • Associate degree in a computer or business related field or three years experience with a work order system, microcomputers supporting network hardware and software required.
  • One year of business, healthcare, and/or maintenance experience required.
  • Valid Virginia drivers license and good driving record required.
  • Advanced software skills in Microsoft Office Word, Excel and Power Point.
  • Effective communication and problem solving skills required.
  • Must be self-motivated and highly organized.
  • Must be capable of prioritizing multiple projects and meeting deadlines.
